About This Role:

We’re looking for a highly organized and proactive Executive Assistant to support the field sales efforts of a growing team. This role will be responsible for sourcing and coordinating conference appearances, handling all travel and event logistics, and supporting lead-generating sales events like curated dinners and happy hours. You won’t be closing deals, but your work will directly impact sales success by ensuring smooth operations, well-planned activations, and high-quality prospect experiences. Key Responsibilities:

  • Research and shortlist weekly conferences with strong sales or networking potential

  • Vet events for lead generation value and provide recommendations

  • Book travel: conference tickets, flights, and hotels

  • Coordinate small-scale sales events (happy hours, curated dinners)

  • Source and reserve venues that support client-facing sales goals

  • Set up Luma RSVP pages and manage guest list tracking

  • Coordinate event logistics and timelines

  • Maintain task visibility using a project management tool

  • Communicate with vendors and venues professionally

  • Ensure all sales-related field events are well-executed and on budget

Qualifications:

  • At least 3-5 years of freelancing experience

  • Strong English communication skills (C1C2 English proficiency required)

  • Solid background in event coordination or executive assistance

  • Familiarity with supporting sales teams or customer-facing events is a plus

  • Highly organized and detail-oriented

Shift Schedule:

  • Monday to Friday, flexible working hours with required availability for a daily stand-up between 9AM to 5PM US PST.
