About This Role:

We are hiring an Admin & Marketing Operations Virtual Assistant to support a fast-growing, design-led DTC accessories eCommerce brand. This role is execution-focused and operational, designed to keep day-to-day marketing workflows, creator logistics, and internal coordination running smoothly.

This is not a strategy or ideation role. You will focus on task execution, organization, and accuracy across marketing operations, reporting, and admin support. The ideal candidate is reliable, detail-oriented, and comfortable working through clearly defined tasks and timelines while supporting a creative, fast-moving team.

Key Responsibilities:

  • Upload finalized ad creatives into Meta Ads Manager using Kitchn.io, ensuring accuracy and proper organization

  • Coordinate product shipments to creators, manage tracking details, timelines, and shipping costs

  • Maintain and update content and marketing budget trackers, including invoice inputs and monthly accuracy checks

  • Build out email calendar tasks in Asana based on the provided plans and timelines

  • Generate and export standardized creative performance reports from Motion on a weekly or bi-weekly basis

  • Track key dates for limited drops, product launches, and creative deliverables, serving as a deadline guardrail

  • Assist with sourcing potential UGC creators based on predefined criteria and guidelines

  • Meta Ads Manager

  • Kitchn.io

  • Asana

  • Motion

  • Google Sheets, Google Drive, and Google Workspace

  • Shipping and tracking platforms

Qualifications:

  • Excellent written and verbal English communication (C1 or C2 level).

  • 2–4+ years of experience as an Admin VA, Marketing VA, or Operations Assistant

  • Experience supporting an eCommerce or DTC brand is strongly preferred

  • Strong attention to detail and comfort handling repetitive but important tasks

  • Reliable, organized, and able to manage deadlines with minimal follow-up

  • Comfortable working independently with structured instructions

  • Familiarity with marketing workflows, creators, or digital assets is a plus

Shift Schedule:

  • Flexible part-time schedule

  • Monday to Friday, must have consistent overlap with US Pacific Time (PST) business hours

  • Availability during US weekdays is required to support time-sensitive tasks
