Job Summary
To play a crucial role in providing comprehensive administrative support to the Executive Teams, ensuring smooth operations and effective communication within the organization
Responsibilities
- Provide high-level administrative support to the Executive Teams, including managing calendars, scheduling meetings, arranging travel, and coordinating logistics for executive events and conferences.
- Handle all incoming and outgoing communications on behalf of the Executive Teams, including emails, phone calls, and written correspondence, ensuring timely responses and appropriate follow-up actions.
- Prepare meeting agendas, take accurate minutes, and distribute meeting materials. Coordinate and schedule executive team meetings, ensuring all necessary resources and materials are available in advance.
- Maintain and organize executive team files, records, and documents, ensuring confidentiality and easy retrieval when needed.
- Coordinate travel arrangements for the Executive Teams, including flight bookings, hotel accommodations, transportation, and visa applications, ensuring smooth and efficient travel experiences.
- Assist in managing the Executive Teams budgets and expenses, including tracking expenditures, processing invoices, and reconciling financial records.
Requirements
- Fluent in Mandarin speaking, English and Chinese Word Processing.
- Maintain strict confidentiality with good work ethic and morals, and exercise good judgment.
- Strong verbal and written communication skills.
- Outstanding attention to detail.
- Able to work under pressure in a fast-paced environment.
- Approachable and calm, with strong interpersonal skills.
- Proficiency with Microsoft Office suite (including Outlook, Word)
- 2 years in an Executive Assistant or similar role for multinational firms.
- Bright Mainland Chinese graduate from the Universities in HK with no Executive Assistant exposure would also be considered.
