Position Summary

The Clerical Assistant is responsible for providing a range of company secretarial and administrative support to the Company Secretarial Department.

Key Accountabilities

Providing clerical support to the company secretarial team members including:

  • assisting in preparing documents and forms
  • handling daily filings inclusive of maintaining and updating the internal filing system and arranging for external filings to be made with the relevant authorities
  • as a point of collection and disposal of all incoming and outgoing mails

Providing administrative support to the company secretarial department including:

  • invoice generation and coordinating with the company secretarial team members and finance team on invoicing and related matters inclusive of cheques issuance, accounting entries and adjustments
  • coordinating with company secretarial team members and conflicts team in new clients onboarding procedures

Assisting in company searches including:

  • conducting company searches and other searches
  • keeping the search control list

Performing any other duties as directed.

Key Relationships

  • Head of Company Secretarial Department and other Company Secretarial team members
  • Service oriented relationships need to be developed and maintained with other shared services staff

Qualifications and Knowledge

  • University graduate
  • Mature, stable with a minimum of 3 years' working experience in providing administrative/clerical support
  • Process and delivery management, a commitment to the delivery of quality services in a timely manner
  • Working knowledge of Word and Excel, and Chinese Word processing
  • Law firm experience an advantage
  • Knowledge of company secretarial duties
  • Knowledge of CSA software
  • Ability to communicate in an effective manner with colleagues
  • Positive with enthusiasm to learn and the ability to work in a team
  • Willingness to work flexible hours, i.e. overtime
