Front of House Operations Coordinator (ZR-626)

 Job Description:

We are seeking an experienced Front of House Operations Coordinator to support daily operational workflows within the promotional products industry. This role will be responsible for preparing accurate estimates, developing client presentations, coordinating with suppliers, and managing artwork and virtual mockup requests with the design team.

The ideal candidate is highly organized, detail-oriented, and capable of compiling data from multiple vendors to create accurate estimates and polished, client-ready presentations.

Responsibilities

1. Estimate Preparation

  • Compile vendor pricing, production costs, shipping charges, and additional fees.
  • Prepare accurate product estimates and client quotations.
  • Ensure margins, setup charges, production timelines, and order requirements are properly calculated.
  • Maintain consistency and accuracy in all pricing documentation.

2. Client Presentation Preparation

  • Create clear, organized, and professional product presentations for clients.
  • Present product options, pricing, specifications, and branding details in a structured format.
  • Ensure all presentations align with company branding and quality standards.

3. Vendor & Supplier Coordination

  • Communicate with vendors to obtain product information, pricing, availability, and timelines.
  • Manage supplier follow-ups for quotes and production updates.
  • Coordinate with vendors to ensure order accuracy and adherence to production schedules.

4. Artwork & Virtual Mockup Coordination

  • Collaborate with the art team to request and manage virtual mockups
  • Ensure artwork files, revisions, and approvals are completed within required timelines.
  • Track artwork progress and maintain communication between vendors, the art team, and internal stakeholders.

5. Order Workflow Management

  • Organize and compile all required information before orders proceed to production.
  • Verify that product details, artwork approvals, and vendor confirmations are in place.
  • Maintain well-structured documentation and records for each project or order.

Requirements

  • Prior experience in the promotional products, print, or branded merchandise industry preferred.
  • Strong experience in preparing estimates, quotes, and client presentations.
  • Ability to compile and analyze pricing and product data from multiple vendors.
  • Excellent organizational, communication, and coordination skills.
  • Strong attention to detail and ability to manage multiple projects simultaneously.
