Purchase Manager (ZR-386)

 Job Description:

We are seeking a reliable and detail-oriented Virtual Assistant/Purchasing Manager to join our team. This position is ideal for someone with strong organizational skills who thrives in a remote work environment with experience working in US market. The Virtual Assistant/Order Processing Manager will play a key role in supporting our operations by processing purchase orders, managing inventory levels, and ensuring smooth supply chain operations.

Must Haves:

  • Proven experience as a Virtual Assistant or in a similar administrative role.
  • Experience with purchase order processing and inventory management systems (e.g., ERP, QuickBooks, etc.).
  • Strong organizational skills and attention to detail.
  • Excellent communication skills, both written and verbal.
  • Proficient in Microsoft Office (Word, Excel, etc.) and Google Workspace.
  • Ability to multitask and prioritize tasks efficiently.
  • Ability to work independently and manage time effectively.
  • Knowledge of supply chain and logistics processes is a plus.
  • Experience with e-commerce platforms and inventory management tools (e.g., Shopify, Zoho, Trade Gecko, etc.).
  • Familiarity with basic bookkeeping and invoicing.
  • Proactive problem-solving skills and a positive attitude.

Responsibilities:

Purchase Order Processing:

  • Review and process incoming purchase orders in a timely manner.
  • Communicate with suppliers to confirm order details, pricing, and delivery times.
  • Update purchase order statuses and maintain accurate records.
  • Ensure proper documentation for invoicing and payment processing.

Inventory Management:

  • Track inventory levels and update product availability in the system.
  • Assist in inventory forecasting and replenishment to maintain optimal stock levels.
  • Perform regular inventory audits and coordinate with the team to address any discrepancies.
  • Manage product returns, replacements, and restocking.

Vendor and Supplier Coordination:

  • Build and maintain strong relationships with suppliers.
  • Resolve any issues related to delayed shipments, product defects, or inventory discrepancies.

Data Entry & Reporting:

  • Maintain accurate records of purchase orders, inventory levels, and vendor communication.
  • Generate weekly/monthly reports on inventory status, order fulfillment, and supplier performance.

Other Details:

  • Job Timings: Evening shift following US EST 
  • Office location: Off to Shahrah-e-Faisal, PECHS, Karachi

Regarding the remote, the candidate will arrange a separate workspace and the required gadgets (Laptop-Corei5 6th generation minimum, noise cancelling headphones, webcam, power backup)
