Purchase Manager (ZR-386)
Job Description:
We are seeking a reliable and detail-oriented Virtual Assistant/Purchasing Manager to join our team. This position is ideal for someone with strong organizational skills who thrives in a remote work environment with experience working in US market. The Virtual Assistant/Order Processing Manager will play a key role in supporting our operations by processing purchase orders, managing inventory levels, and ensuring smooth supply chain operations.
Must Haves:
- Proven experience as a Virtual Assistant or in a similar administrative role.
- Experience with purchase order processing and inventory management systems (e.g., ERP, QuickBooks, etc.).
- Strong organizational skills and attention to detail.
- Excellent communication skills, both written and verbal.
- Proficient in Microsoft Office (Word, Excel, etc.) and Google Workspace.
- Ability to multitask and prioritize tasks efficiently.
- Ability to work independently and manage time effectively.
- Knowledge of supply chain and logistics processes is a plus.
- Experience with e-commerce platforms and inventory management tools (e.g., Shopify, Zoho, Trade Gecko, etc.).
- Familiarity with basic bookkeeping and invoicing.
- Proactive problem-solving skills and a positive attitude.
Responsibilities:
Purchase Order Processing:
- Review and process incoming purchase orders in a timely manner.
- Communicate with suppliers to confirm order details, pricing, and delivery times.
- Update purchase order statuses and maintain accurate records.
- Ensure proper documentation for invoicing and payment processing.
Inventory Management:
- Track inventory levels and update product availability in the system.
- Assist in inventory forecasting and replenishment to maintain optimal stock levels.
- Perform regular inventory audits and coordinate with the team to address any discrepancies.
- Manage product returns, replacements, and restocking.
Vendor and Supplier Coordination:
- Build and maintain strong relationships with suppliers.
- Resolve any issues related to delayed shipments, product defects, or inventory discrepancies.
Data Entry & Reporting:
- Maintain accurate records of purchase orders, inventory levels, and vendor communication.
- Generate weekly/monthly reports on inventory status, order fulfillment, and supplier performance.

- Job Timings: Evening shift following US EST
- Office location: Off to Shahrah-e-Faisal, PECHS, Karachi
Regarding the remote, the candidate will arrange a separate workspace and the required gadgets (Laptop-Corei5 6th generation minimum, noise cancelling headphones, webcam, power backup)
