JOB POSITION: Admin Assistant
JOB QUALIFICATIONS
- Proficient in Microsoft Office (Excel, Word, PowerPoint); computer literate
- Able to communicate effectively in English
- Organized, detail-oriented, and with strong time management skills
- College graduate or college-level in B.S. Office Administration or any related course
- With or without administrative experience (fresh graduates are welcome)
- Demonstrates initiative, flexibility, and ability to work under pressure
- Willing to be exposed to compliance-related tasks, including processing permits, licenses, and government certifications
- Willing to perform field work, such as visiting government agencies and doing follow-ups via email or phone calls
DUTIES AND RESPONSIBILITIES
- Provide general administrative and clerical support to FOM Manager.
- Assist internal employees via ERP Tickets Receive and sort daily mail/deliveries/couriers
- Follow up pending task of FOM team according to resolution time and compliance and maintenance due date.
- Generate report for FOM weekly Average Ticket resolution time.
- Generate report for FOM weekly attendance rate report.
- Timekeeping for Security guards, Utility staff & internal staff when the attendance system is unavailable.
- Generate report for the minutes of the weekly departmental Meeting and keep it always updated.
- Help out on coordinating the insurances broker for vehicle, property and electronic insurance Policy
- Help out with compliance processes in compilation of required documents, communicate and make follow up the involved department.
- Organize the files cabinet according to compliance documents.
- Update and generate report for FOM Maintenance and Compliance Schedule monitoring report
- Data encoding on weekly FOM Expenses and ensure petty cash are always justified where expenses plus cash on hand are equal to the total FOM petty cash budget.
