About the Role

We are hiring an Associate, Events Operations & Bookings to support artist outreach, booking coordination, inbox management, lead generation, data organization, and day to day administrative support across our events and bookings operations.

This role is ideal for someone who is highly organized, efficient, detail oriented, and genuinely interested in music, entertainment, and startup environments. The position requires strong written English, excellent follow through, and the ability to handle both communication-based work and backend administrative tasks accurately and consistently. Training will be provided but candidates who have a self-starter entrepreneurial mindset will excel in this role and there is a lot of growth opportunity given how early stage We Outside Entertainment is at today.

While the role includes artist communication and booking coordination, it also involves a regular amount of spreadsheet management, system updating, and data entry related work. The successful candidate should be comfortable with both people facing coordination and structured timely backend execution.

Key Responsibilities

Artist Outreach and Communication

Conduct artist outreach through Instagram, email, and other approved communication channels

Follow up with artists who have been contacted previously

Respond to inbound artist messages in a professional and timely manner

Help manage ongoing artist communication and keep conversations moving forward

Support the company's increasing shift from social media-based outreach toward more organized email based outreach

Bookings and Pipeline Coordination

Assist in moving artists through the booking and approval pipeline

Track artist status across internal sheets and systems

Help coordinate next steps for approved artists, including follow ups for missing information, assets, or responses

Flag high priority opportunities, sensitive issues, or time sensitive matters to management promptly

Escalate unclear situations instead of making assumptions

Inbox and Administrative Management

Manage routine correspondence across outreach, bookings, and operations-related inboxes

Review, organize, and respond to standard messages where appropriate

Keep inboxes organized and ensure important communications are not missed

Identify and flag anything urgent, strategic, or operationally important for management review

Research, Lead Generation, and Data Support

Research artists, venues, and relevant leads from provided sources and internal direction

Build and maintain artist lead lists and contact databases

Add, verify, and organize contact information including emails, social accounts, and relevant notes

Organize artists and leads by city, market, genre, region, or other requested criteria

Support growth initiatives by helping maintain strong and usable internal data

Systems, Spreadsheets, and Internal Tracking

Update booking sheets, artist trackers, and internal databases accurately

Maintain clean records by removing duplicates, correcting errors, and keeping systems up to date

Ensure information is entered consistently and can be easily understood by the team

Support operational efficiency by keeping backend systems organized and reliable

General Operational Support

Assist with repetitive operational and administrative tasks with speed and attention to detail

Support management with special projects related to bookings, communications, event operations, and internal organization

Learn new systems and workflows as the company grows

Take ownership of assigned tasks and follow them through to completion

Ideal Candidate Profile:

Interested in music, live events, entertainment, or artist development

A genuine passion for music is strongly preferred. We would value someone who understands that this role includes both exciting exposure to the music and events space and the disciplined backend work required to keep a growing company organized

What Success Looks Like In This Role:

Artist outreach is sent consistently and accurately

Follow ups are completed on time

Inboxes remain organized and managed professionally

Trackers and booking systems are kept updated with minimal errors

Management can rely on the associate to keep routine communications and backend admin moving efficiently

The associate shows improvement over time and grows into more complex responsibilities

This role is designed for someone who wants to grow with an ambitious early stage entertainment company. As performance improves and trust is built, the candidate may be given increased responsibility across bookings, communications, operations, research, and internal coordination.

Candidates who perform well may have the opportunity to become a more important part of the company's long term operational team.

Compensation

Market Competitive Salary in CAD.

Performance review every 3 months for an additional bonus of 100,000 PKR ($500 CAD) every 3 months.

Maximum annual compensation: up to 1.6 million PKR per year ($8,000 CAD)

Work Type: Remote
Working Days: 8 hour work day,
Monday to Friday (Pakistan Time),
8 AM to 1 PM (5 hours)
7 PM to 10 PM (3 hours)
No lunch break given small shifts.
