Job Overview
We are looking for a sharp, organized, and highly proactive CMO's Assistant to support the Chief Marketing Officer in the daily execution, coordination, and management of marketing operations.
This role is ideal for someone who is detail-oriented, fast-moving, and comfortable working across multiple teams, campaigns, vendors, calendars, and deadlines. The CMO's Assistant will act as a key coordination point between the CMO, internal departments,
external partners, and leadership stakeholders, ensuring that priorities are tracked, communication is clear, and execution stays on schedule.
The right candidate must be able to think ahead, follow up relentlessly, manage confidential information, and bring structure to a fast-paced marketing environment.

Key
Responsibilities:


1. Executive Support to the CMO

Manage the CMO's calendar, meetings, reminders, and daily priorities.
Prepare meeting agendas, notes, follow-ups, and action trackers.
Coordinate internal and external meetings with departments, vendors, agencies, partners, and leadership.
Ensure the CMO is briefed before key meetings with relevant documents, updates, and context.
Handle confidential information with professionalism and discretion.

2. Marketing Coordination

Support the CMO in tracking marketing campaigns, content plans, events, launches, and brand initiatives.
Coordinate with content, design, growth, sales, PR, and operations teams to collect updates and ensure deadlines are met.
Maintain campaign trackers, project timelines, task sheets, and approval flows.
Follow up with relevant team members to ensure pending actions are completed on
time.
Help organize campaign assets, documents, briefs, presentations, and reports.

3. Communication & Follow-Ups

Draft internal emails, updates, reminders, and meeting summaries on behalf of the CMO when required.
Communicate clearly with internal teams and external vendors.
Track action points from meetings and ensure responsible team members are aligned.
Escalate delays, blockers, or missing information to the CMO in a timely manner.

4. Vendor & Partner Coordination

Liaise with agencies, vendors, event organizers, media partners, hotels, designers, printers, and production teams.
Collect quotations, proposals, invoices, timelines, and deliverables from vendors.
Maintain organized records of vendor communication and approvals.
Coordinate logistics for marketing events, meetings, shoots, activations, and campaigns when required.


5. Documentation & Reporting

Maintain organized files, folders, trackers, and records for marketing operations.
Prepare basic reports, summaries, and progress updates for the CMO.
Assist in compiling campaign performance updates, event plans, budgets, and leadership presentations.
Ensure that all documents are properly formatted, updated, and easy to access.

6. Event & Campaign Support

Assist in coordinating marketing events, exhibitions, launches, press conferences, shoots, and internal campaigns.
Support with guest lists, itineraries, vendor coordination, venue communication, travel details, and event timelines.
Ensure all event-related tasks are documented and followed up with the relevant teams.
Help the CMO stay updated on event readiness, approvals, and pending
requirements.

Proactive attitude with the ability to anticipate needs before being asked.

Required Experience

2 to 3 years of experience in executive assistance, marketing coordination, project coordination, or administrative support.
Prior experience supporting a senior executive, marketing head, founder, or department head is preferred.
Experience in real estate, luxury, events, advertising, media, or marketing agencies will be an advantage.

Qualifications

Bachelor's degree in marketing, Business Administration, Communications, Management, or related field.
Strong English communication skills are required.
