About the job Billing Support: Credit Note Records Assistant
Billing Support: Credit Note Records Assistant
Office Administration · Billing Documents · Remote
£30.00–£32.25 hourly | Full-time or part-time
A credit note should be connected to the invoice or account it affects, but the administrative record can become confusing when documents arrive through different channels. This role files approved credit notes, checks references and helps distribute copies to authorised contacts. You would not decide whether a credit is due, calculate its amount or change the original invoice. Those decisions stay with the billing team.
Connect the documents
When an approved credit note arrives, compare its invoice reference and customer account with the source provided by the billing colleague. If the numbers do not match, leave the item pending for clarification. Do not attach it to the closest-looking invoice simply because the customer name matches. One organisation may have several invoices, and a credit may apply to only one part of an account. After filing, check that the link opens the intended document.
A customer might ask for a copy of the credit note or wonder why their statement still shows an amount. You may send an approved copy after following the employer’s recipient check, and you can describe what the existing record shows. Questions about how the credit was calculated, whether it has been applied or what balance remains require the authorised billing person when the approved guidance does not cover them. Avoid presenting a credit note as proof that a refund has been paid.
Routine administration
- Identify the approved credit note and its invoice reference.
- Match the document to the correct account record.
- Check that a customer contact is authorised to receive a copy.
- Record the issue date and status as shown by the billing system.
- Flag a mismatch between document and invoice references.
- Save or link the file under the employer’s naming rules.
- Note when a copy was actually sent, not merely prepared.
- Refer calculation or balance questions to the billing owner.
If a corrected credit note replaces an earlier version, preserve the relationship between the two according to the company’s process. A colleague needs to know which one is current and why the older version remains in the history. If a customer emails the old document after receiving the new one, compare the versions before replying. The objective is clarity, not hiding an earlier mistake by deleting it from the shared record.
This is remote office administration with a customer service component. The work uses online billing documents, a shared queue and written replies from a private home office. The employer will train you in credit note terminology and the access boundaries for this role. Previous accounts experience is helpful but not necessary. You should be comfortable checking references, writing a precise question and leaving an uncertain item visible for review.
The pay band is hourly and the hiring company will confirm its actual full-time or part-time hours. This job is a practical entry point into billing support; it does not require you to be an accountant or take payment. A completed task leaves the correct document with the correct record and an understandable explanation of any pending issue.
An account may have a credit note issued in one month and a later statement displaying it in another. If a customer asks why the dates differ, check what each document represents and refer a ledger question to billing. Do not change the issue date to make the statement look consistent. The same caution applies when a credit note is addressed to a business with several contact people. Confirm the authorised recipient before distributing a copy. A record showing “sent” should identify the approved channel and date so another colleague can answer a later request without guessing.
If delivery fails, record the returned message and use the approved contact-update route. Do not resend a financial document to a new address supplied in an unverified reply. That precaution protects the customer as well as the accuracy of the billing history.
Document handoff checks
- Verify that the credit note is the approved current version.
- Confirm its invoice reference before attaching it.
- Check the recipient against the employer’s access rules.
- Distinguish a sent copy from a prepared draft.
- Record a failed delivery for the contact owner.
- Keep a calculation question with the billing specialist.
How to apply
Describe what you would do if an approved credit note named a different invoice from the case in your queue. You can use an example from another records role or from study. No accounting qualification is required. People selected to continue may be asked to complete an application through the hiring company’s website. Training in the employer’s billing document process will be provided.
