About the job Forms Intake and Customer Service Assistant
Forms Intake and Customer Service Assistant
One person may submit the same online form twice because they did not receive confirmation. Another may send a corrected version after discovering an error. The Forms Intake and Customer Service Assistant checks the submissions, connects related records under the employer’s rules, and makes sure the right team sees the most useful information. You will not reject an application or decide which version is legally valid.

This job is more than removing apparent duplicates. Similar names can belong to different people, and two submissions from the same person may describe separate requests. Compare permitted identifiers, submission times, and the content of the forms. If you are unsure, document the question instead of merging records. An incorrect merge can hide a real request; an unlinked repeat can make a colleague respond twice without realizing there was an update.
A corrected form may contain a new address while every other detail remains unchanged. The intake note should identify that change and preserve the first submission for the reviewer. A second form with the same name but a different case reference needs a separate check before anything is linked. These distinctions prevent a routine cleanup task from changing the substance of a person’s request.
What a useful review shows
For each assigned set, record whether the entries are an exact repeat, a correction, or an unrelated new request. Where the procedure permits, attach or link the later submission to the earlier case and mark which version the reviewer should consider. If a required field is missing in both, use approved wording to ask for the specific information. A customer should not have to complete an entire form again simply because an internal note failed to explain the gap.
You might see a repeated contact form after a browser error, a revised address in a service request, or two attachments whose filenames are identical but contents differ. Open the permitted files and note the difference. If an attachment cannot be read, record that issue without saying the applicant failed to provide it. Route a possible privacy or identity problem to the right owner before making changes.
In the online intake queue
- Open assigned forms and locate the related case or account.
- Compare identifiers and timestamps before marking a repeat.
- Preserve meaningful changes between submissions.
- Record missing or unreadable attachments accurately.
- Ask a focused question when a routine field is incomplete.
- Link forms only within the authority given to the role.
- Send uncertain matches to a reviewer with the reason stated.
- Update the case note so the next person can follow the sequence.
The main result is an organized record, not a decision about the request itself. A reviewer should be able to see what was first submitted, what changed, and what still needs clarification. Office administration habits support that result, while customer service helps you write a response that is clear and considerate. You may sometimes communicate internally rather than with the person who submitted the form; the same precision matters in both channels.
No previous forms-processing job is required. Training will cover the employer’s system, matching criteria, and privacy rules. Basic computer use, careful reading, and short written communication are useful starting abilities. If you have organized school applications, customer messages, or volunteer records, that experience transfers. A quiet home office may be appropriate for reviewing personal information in this remote role; the employer determines the equipment and working schedule.
Pay and applying
This role is listed at $25.30–$27.05 per hour. Experience with forms, records, or helpful written responses can come from a job, study, or volunteering. You need not have worked in formal intake before; the employer teaches its matching process.
If you’re selected for the next step, you may be asked to complete an application on the hiring company’s website. The selection process will clarify which forms and account records this position handles.
