Office Administration Assistant – Form Reference Matching

Office Administration | Forms Intake | Remote | Full-time or part-time
£52,650–£56,550 annually on a 37.5-hour full-time schedule; part-time pro rata

One person may submit a form online and later email a corrected page. Another may send a second form because the first confirmation did not arrive. The Form Reference Matching Assistant helps keep those submissions attached to the correct existing request. This role is about identifying the right record and making a reliable handoff. You would not assess eligibility, approve an application or decide that two people with similar names are the same person.

How a submission finds its place

You would begin with the reference number or identifying details supplied by the sender. Check the related case in the approved system, look at what has already arrived and determine whether the new submission is an addition, a correction or a separate request under the employer’s instructions. If the reference is missing, ask a focused question or route the item to the person who can verify it. Do not attach a document to a likely-looking case simply to move the queue along.

The work may involve:

  • Reading the incoming form notification and any message that accompanies it.
  • Comparing the reference with the case record and existing submissions.
  • Checking whether an earlier copy has already been recorded.
  • Linking a corrected page to the right request when the process allows it.
  • Naming or labelling a file according to the employer’s convention.
  • Recording which version arrived and whether it replaces an earlier one.
  • Flagging two possible case matches for an authorised colleague.
  • Leaving a concise status note so a reviewer can find the full submission.
  • Acknowledging receipt using approved wording when that is part of the task.

There is a difference between a duplicate upload and a later correction. If the same file appears twice under one reference, record the observation without deleting either copy unless the procedure expressly permits it. If the second file contains a changed date or attachment, flag it as a revision so the reviewer knows which materials were supplied and when. A clear trail is more useful than a tidy folder with no history.

A case requiring care

Suppose an email contains a page marked “updated”, but the sender quotes a reference belonging to two similar records because a digit was missed. You would compare the permitted details, hold the document if the match remains uncertain and ask for the missing identifier. If you place it on the wrong case, the customer service team may tell the wrong person a submission is complete. Your careful office administration protects the person who sent the form and the colleague who later reviews it.

The receiving team may have several queues. An application form, a service request and a supporting document can arrive through different channels. Your role is not to redesign that system; it is to follow the map the employer provides and record a clear exception when the normal route does not fit. You should be comfortable switching between an online form, an email and a case note, while keeping each person’s information separate.

Who can start here

No specialist forms qualification is required. The employer will teach its reference formats, matching rules and access limits. Previous office or customer service experience is useful but not necessary. You should be able to read carefully, ask an exact question and leave a task visibly pending instead of guessing. A private home office is helpful for working with submitted documents and a stable connection will support the online systems.

The full-time annual range is listed above; the hiring company will confirm the actual schedule and part-time calculation for its vacancy. The outcome you are working towards is a reviewer who can open one case and see the correct sequence of forms without retracing several inboxes. That is a concrete, introductory administrative contribution.

Application route

Tell us how you would handle a document that seems to belong to two possible records. You can use an example from school or volunteering if you have not yet worked in an office. We will value an explanation that checks the facts and asks for guidance when needed.

Should you progress, the next step may require an application through the hiring company’s website. Instructions for that step will come from the hiring team. Training in the employer’s reference and filing process will be provided.
