Billing Administration Assistant – Due Date Enquiries

Office Administration | Billing Support | Remote | Full-time or part-time
Hourly pay: £30.00–£32.25

An invoice due date is easy to read when the document is in front of you, but customers may be looking at an older copy, a statement covering several invoices or an email that does not identify the correct account. This role helps clarify the date shown in approved billing records and makes sure a more complicated question reaches the billing team. You would explain what the existing document says; you would not extend a due date, waive a charge or decide a dispute.

Identify the right document first

Before answering, locate the invoice or statement the person means. Match the reference and customer details using the employer’s approved process. An account can have more than one open document, and an online statement may show several dates. If the customer quotes an amount but no reference, ask for the detail needed to find the right item. Do not guess from the most recent invoice merely because it is easy to open.

Your work may involve:

  • Read an incoming email or online enquiry to identify the billing document in question.
  • Locate the approved invoice or statement in the assigned system.
  • Check the date shown and whether the document has since been replaced.
  • Explain the recorded due date in plain language when the information is clear.
  • Send a copy or approved link if the customer needs the document to see the date.
  • Record a discrepancy between two versions for the authorised billing colleague.
  • Refer requests for payment extensions, fee changes or disputed charges.
  • Keep the question connected to the correct account history.

When a question is really something else

Suppose the customer says, “The date is wrong because your team sent the invoice late.” That is no longer just a request to read the printed date. You can acknowledge what the person says and pass the concern to someone authorised to consider the terms. Do not promise that the due date has changed, even if the explanation sounds reasonable. A customer service response should be respectful and specific about the next step, while leaving the decision with the person who can make it.

If an invoice is marked replaced, make sure you are looking at the current document. A customer may hold the original version and ask why an online account shows a different date. You could explain which document is listed as current when the approved records are clear, but an unexplained difference should be flagged for review. An office administration note can identify the two references and what each displays without trying to determine which terms are legally correct.

Beyond a single reply

Sometimes a person replies after you have provided the date and asks whether a payment was received. Read the new question and route it appropriately; do not treat it as a repeat of the original enquiry. Keep the earlier response visible so another colleague can follow the sequence. If a link to the invoice does not open, record the access problem and use the company’s approved alternative. The task is complete only when you have answered the routine question or made a clear handoff of the unresolved issue.

The job is remote and uses online billing records, email and a shared case system. A private home office setup supports careful handling of financial documents. Previous billing experience is helpful, but it is not essential. The employer will train you on its records, permissions and language. You should be comfortable checking numbers and dates and asking a precise question when information does not agree.

The listed hourly range is for this draft. The hiring company will confirm its actual full-time or part-time schedule and compensation details for the opening. You will not need to calculate interest, take payments or provide accounting advice. This is an introductory support position centred on accuracy and clear communication.

How to apply

Describe a time you checked two similar documents before answering a question, drawing on school, volunteering or another job. Explain what you would do if the dates differed. No billing qualification is required because training covers the company’s invoice records and referral rules. Applicants moving to a further stage may be directed to the hiring company’s website to complete an application.
