Invoice Delivery Customer Service Associate

Billing inquiries · Customer service · Remote
Full-time or part-time | $26.40–$28.10 per hour

An invoice that never reaches its recipient can hold up an ordinary customer request. In this role, you would look at assigned delivery failures, check the contact details and invoice status available to you, and make sure the right person receives an accurate next step. The work involves online billing records and written customer service; it does not involve changing charges or collecting payments.

When a message comes back

A failed email can mean an outdated address, a full inbox, a rejected attachment, or a temporary delivery problem. Start with the notification and the issued invoice record. Check whether the invoice was actually generated and whether a newer contact instruction is already on file. A bounced email is not proof that the customer has refused to pay; your notes should state what the system shows, without guessing why it happened.

Depending on the employer’s permissions, you may correct an approved contact detail or ask the account owner to confirm a new address. If the invoice must be resent, use the secure channel and recipient verification process provided in training. Never send a billing document to an address supplied in an unrelated message without checking that the requester is authorized. An invoice containing another customer’s information needs immediate referral under the privacy procedure, not a routine resend.

Your queue may include an invoice that went to an old departmental address, one returned because the recipient’s mailbox rejected it, and one whose invoice number cannot be found. Each calls for a different note. The first might need a verified contact update. The second may require an alternative approved delivery method. The third needs the billing team to establish whether the document exists before anyone promises a copy.

What you would do

  • Review delivery notices alongside the related invoice record.
  • Compare the address used with approved contact information.
  • Separate a failed delivery from an invoice still being prepared.
  • Ask for a missing reference through the permitted channel.
  • Record the reason shown for a failed send, without inventing one.
  • Route account disputes and billing corrections to the appropriate colleague.
  • Follow up on items that still have no confirmed delivery route.

The goal is a clear record of what happened and who owns the next step. If another team member takes over, they should be able to tell which document was involved, what contact information was checked, whether a resend was authorized, and what was communicated to the customer. That care is a form of office administration that helps customer service stay consistent.

You can begin without billing experience. Training will cover the employer’s invoice system, approved wording, and rules for sharing documents. You do need to read details carefully, write a short factual message, and handle private information with discretion. Experience with an email queue or customer records is useful, but it is not a condition of applying. A home office with a private screen and dependable internet may help you manage sensitive correspondence; exact equipment and schedule are set by the hiring company.

A billing colleague may tell you that a document has been reissued while the original failed send remains in the queue. Link the newer document to the existing case and check which one is authorized for delivery. If a customer asks whether a balance is overdue, refer that question rather than using the failed email as evidence. The distinction keeps an administrative delivery task from becoming an unapproved account judgment.

Pay and progression through the queue

The hourly range is $26.40–$28.10. An item is complete when its delivery path is confirmed or the unresolved issue has been handed to the right owner with enough context to act. You are not responsible for deciding whether a charge is correct, promising when payment will be received, or negotiating an amount. Those decisions remain with the authorized billing team.

Your application

If your background includes email handling or careful document checks, make those tasks easy to find on your resume. A person entering billing support for the first time can still be a strong applicant when they can keep private records accurate. The company will teach the invoice workflow and its delivery rules. If you’re selected for the next step, you may be asked to complete an application on the hiring company’s website. That step may request details about your availability for this opening.
