SUMMARY

The IT Asset Management Specialist is responsible for the end-to-end administration of software licensing, subscriptions, and maintenance agreements across the enterprise. This includes managing software assets on servers, PCs, and network devices. The role supports U.S.-based operations and ensures compliance with licensing entitlements, optimizes software usage, and contributes to cost saving initiatives. The Asset Management Specialist may also assist in vendor negotiations and software acquisition assessments.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Administer and support volume licensing agreements and software subscriptions.
  • Provide technical licensing guidance to internal IT teams.
  • Collaborate with procurement, vendors, and resellers to ensure proper license acquisition.
  • Lead or assist in vendor procurement activities, including negotiating pricing and terms for software purchases and renewals.
  • Monitor and manage renewals for software maintenance and support agreements.
  • Identify and pursue cost-saving opportunities related to licensing and renewals.
  • Support internal and external software license audits and manage remediation plans.
  • Maintain accurate records of all IT assets, including hardware (e.g., laptops, desktops, peripherals, mobile devices) and software licenses, across their lifecycle from procurement to retirement
  • Proactively manage the software license pool to prevent under- or over-licensing.
  • Coordinate all renewals for subscriptions, support, and maintenance agreements, including initiating purchase orders and obtaining necessary approvals.
  • Validate software deployments and license usage through tools such as Flexera.
  • Respond to audit requests and ensure ongoing compliance with licensing terms.
  • Oversee asset tracking systems to ensure real-time visibility into asset inventory, location, assignment, and status.
  • Collaborate with IT support to ensure proper deployment, recovery, and disposal of IT assets.

QUALIFICATIONS AND SKILLS

  • Bachelors degree in Information Technology, Business Administration, or a related field is preferred.
  • Minimum of 3-5 years of experience in IT asset management, software licensing, or a related IT operations role.
  • Demonstrated experience in vendor management, including negotiating pricing and managing renewals, is required
  • Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Strong written and verbal communication skills in English.
  • Excellent attention to detail and organizational skills.
  • Strong problem-solving skills and a proactive approach to issue resolution.
  • Familiarity with IT asset management tools and platforms (e.g., ServiceNow, Flexera).
  • Experience working in a multicultural, geographically distributed team.
  • Experience in a healthcare or regulated industry.
  • Knowledge of software licensing models (e.g., Microsoft, Adobe, Oracle).
  • ITIL Foundation certification or similar is a plus.
  • Detail-oriented with a focus on accuracy and quality.
  • Proven experience in onshore/offshore delivery environments.
  • Experience in supporting US companies providing healthcare, healthcare IT, or enterprise solutions is strongly preferred.
