About the Role

Are you a seasoned Payroll Manager with a keen eye for detail and a passion for leading a high-performing team? A leading US-based healthcare company is seeking a dedicated and experienced professional to join our Manila team. You'll play a critical role in ensuring the accuracy and compliance of our US bi-weekly payroll operations. You'll lead a team of payroll specialists, serving as the primary escalation point and driving the continuous improvement of our payroll processes.

What You'll Do

In this role, you will be responsible for:

  • Overseeing End-to-End Payroll Processing: Manage and execute all aspects of bi-weekly US payroll production, ensuring accuracy, timeliness, and compliance with federal and state regulations.
  • Team Leadership & Development: Lead, mentor, and support a team of payroll specialists, fostering a collaborative and efficient work environment. Serve as the primary escalation point for complex payroll inquiries and issues.
  • Accuracy & Compliance: Conduct thorough audits of all payroll data, including time, earnings, reimbursements, and deductions, to ensure accuracy and proper authorization. Verify calculations and deductions using ADP and other relevant systems.
  • Documentation & Reporting: Maintain meticulous payroll documentation in an organized and accessible manner. Generate and deliver various payroll reports to Accounting and other stakeholders as needed.
  • Tax & Garnishments Management: Oversee the accurate processing of all garnishments, wage attachments, and child support orders in accordance with state and federal guidelines. Monitor, forecast, and verify payroll taxes and their timely filing.
  • Process Improvement & Auditing: Collaborate with the Payroll Team Lead to develop and implement enhanced payroll processes. Conduct regular internal audits to ensure compliance with established controls and maintain data integrity.
  • System Management: Perform essential system functions such as resetting payroll cycles and downloading check details post-transmission. Track and audit manual checks and garnishments for proper processing.
  • Confidentiality & Data Security: Uphold the highest level of confidentiality for all employee information.
  • HSA Reconciliation: Reconcile Health Savings Account (HSA) deductions and submit them to Treasury for funding.
  • Authorized Signature Log: Maintain and perform quarterly audits on the Authorized Signature Log.

What You'll Bring

  • 6+ years of progressive experience in payroll management, preferably within a US-based company.
  • Extensive experience with ADP software is a must.
  • Proven experience managing and leading a team of payroll specialists.
  • In-depth knowledge of US federal and state payroll laws and regulations.
  • Exceptional attention to detail and accuracy.
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal skills.
  • Ability to work effectively in a fast-paced, high-volume environment.
  • A high degree of integrity and discretion.
