 Job Description:

Overview:

The Warranty Administrator is responsible for overseeing corporate warranty policies, processing repair orders for warranty claims, managing departmental accounting records, and supporting budget and expense planning. This role plays a key part in maintaining warranty compliance, ensuring timely claim processing, and supporting business operations through reporting, systems administration, and cross-department collaboration.

Key Responsibilities

Warranty Operations & Compliance:

  • Ensure compliance with corporate warranty policies and procedures.

  • Review and update warranty policy documentation as necessary.

  • Process repair orders and ensure timely and accurate warranty claim payments.

Financial & Record Management:

  • Maintain accurate accounting records related to warranty transactions.

  • Assist with financial reporting and analysis related to warranty costs.

  • Support the Department Manager in budget planning and expense allocation.

Reporting & Data Management:

  • Create and maintain reports and databases to support warranty, vehicle repair, and business operations.

  • Provide data insights and analysis to improve department performance.

Technology & Systems Oversight:

  • Oversee department business automation equipment and software.

  • Ensure data integrity, system security, and efficient use of tools.

  • Act as System Administrator for:

    • x-time (Web Scheduler): Manage scheduling/tracking of warranty repairs; provide training and user support.

    • DealerCONNECT for PQRC: Manage access, functionality, and provide feedback on proposed application revisions.

Corporate & Cross-Team Collaboration:

  • Work closely with Corporate Warranty Administration to review draft bulletins and system updates.

  • Liaise with DealerCONNECT and the Detroit Warranty Administrators Guild.

  • Test new application revisions and submit user feedback for improvements.

Warranty Parts Return Coordination:

  • Develop and maintain systems to process and track warranty parts return documentation efficiently.

Operational Support:

  • Partner with the Shop Operations Manager to support shop productivity tracking and reporting.

  • Assist in organizing department Town Halls and special events.

Qualifications:

  • Bachelor's degree in Business Administration, Automotive Technology, or a related field.

  • Minimum of 3 years experience in warranty administration or a similar role.

  • Strong understanding of automotive warranty policies and procedures.

  • Proficiency in systems like x-time and DealerCONNECT.

  • Strong organizational, leadership, and analytical skills.

  • Effective communication and interpersonal abilities.

  • Ability to work cross-functionally and manage multiple priorities.

Working Conditions:

  • Frequent presence on the shop floor.

  • Must be able to stand and walk for extended periods and cover long distances.
