Role Overview

We are looking for a detail-oriented and proactive Real Estate Bookkeeper who specializes in cleanup and reconciliation of historical financial records.

This role focuses on bringing messy or incomplete books to accuracy, ensuring all accounts are properly reconciled and ready for ongoing monthly bookkeeping.

Key Responsibilities

Cleanup & Catch-Up Bookkeeping

  • Review and clean up historical financial records (multiple months/years backlog)
  • Identify and correct discrepancies, uncategorized transactions, and duplicate entries
  • Ensure all transactions are properly recorded and categorized

Bank & Account Reconciliation

  • Perform monthly bank and credit card reconciliations
  • Investigate and resolve unreconciled balances and discrepancies
  • Ensure financial records match bank statements accurately

Real Estate-Specific Bookkeeping

  • Record and track:
    • Rental income and expenses
    • Property-related costs (maintenance, utilities, repairs)
    • Owner distributions and capital contributions
  • Maintain clean records per property or entity

Financial Accuracy & Reporting

  • Prepare accurate financial reports (P&L, Balance Sheet) after cleanup
  • Ensure books are audit-ready and properly structured
  • Flag inconsistencies or unusual transactions proactively

Documentation & Organization

  • Request and organize missing documents (bank statements, receipts, etc.)
  • Maintain a clear audit trail for all corrections made
  • Keep bookkeeping files structured and up to date

Communication & Accountability

  • Provide regular progress updates
  • Communicate blockers clearly and proactively
  • Meet agreed timelines and deliverables

Required Qualifications

  • Proven experience in bookkeeping cleanup and catch-up work
  • Strong experience with QuickBooks Online (QBO)
  • Experience working with real estate clients (property management, rentals, etc.)
  • Strong understanding of:
    • Bank reconciliation
    • Chart of Accounts structuring
    • Financial reporting basics

Preferred Qualifications

  • Experience with property management tools (AppFolio, Buildium, etc.)
  • Experience handling multi-entity or multi-property books
  • Familiarity with US bookkeeping standards
