ROLE OVERVIEW

We are looking for a Legal Assistant to be part of our team.

  • This role focuses on delivering exceptional client experiences through professional communication, efficient scheduling, and responsive call handling using platforms like RingCentral, Calendly, and SmartAdvocate. Responsibilities include legal and administrative support, remote office coordination, and strict adherence to confidentiality and compliance protocols. Performance is measured by responsiveness, accuracy, and quality of client interactions.

MAIN RESPONSIBILITIES

Document Management

  • Receive and Save Documents:
    • From Outlook and RingCentral fax Save to SmartAdvocate.
    • Physical mail Scan and save to SmartAdvocate.
  • Label and Note Documents:
    • Save to correct folders in SmartAdvocates Documents tab.
    • Add summary/identification of the document in the Notes tab.
    • Update SmartAdvocate with any new data/information in the document.

Medical Bills and Records

  • Request and Track:
    • Send requests as instructed by case manager/paralegal.
    • Follow up weekly until documents are received.
  • Processing Received Records:
    • Save to SmartAdvocate under correct medical provider.
    • Update Medical Provider tab: service dates, billing info, treatment & diagnosis codes.
    • Notify the case paralegal upon completion.

Information Collection

  • Insurance:
    • Collect ledgers, auto policies, declarations, and related docs.
  • Medical:
    • Obtain records, bills, disability notes.
  • Evidence:
    • Retrieve police reports, PDRs, damage photos, and estimates.

Data Entry & System Maintenance

  • SmartAdvocate Data Entry:
    • Insurance info.
    • Medical provider data.
    • Diagnosis & treatment codes from EOBs.
    • Internal checklists and case forms.

Client & Insurance Communications

  • Initial Case Setup (Day 1 Tasks):
    • Send LORs to all insurers and medical providers.
    • Send welcome letter and retainer to client.
    • Input all initial case information into SmartAdvocate.
  • Ongoing Communication:
    • Respond to calls; route as necessary.
    • Schedule/confirm meetings and appointments.
    • Remind clients of key dates (e.g., depositions, arbitration).
  • Send Standard Documents:
    • Damages questionnaires, general forms.
    • LORs with medical authorizations and insurance card copies.

Demand Preparation

  • Ensure receipt of:
    • Police report and all police records.
    • Property damage estimates and photos.
    • All medical bills and records.
    • Wage loss documentation.
  • Notify case paralegal once demand packet is complete.

REQUIREMENTS

    • Minimum of 2 years of relevant work experience.
    • Willing and able to work the night shift.
    • Must be open to working onsite at 8th Floor, Zeta Tower, Bridgetowne, Quezon City.
