Collections Specialist

Position Overview:

The Collections Representative will be responsible for sending customer statements, following a structured collections workflow, monitoring AR inboxes, and driving timely resolution of open items. The Collections Representative will support collections across our distribution business, primarily collecting from retail customers in New York.

Duties and Responsibilities:

The Collections Representative shall perform duties and responsibilities including but not limited to the following:

• Send and manage customer statements on a defined schedule and ad hoc as needed
• Execute collections workflows: outreach, tracking, dispute routing, and follow-through
• Monitor and manage AR email inbox (remittances, inquiries, backup requests, discrepancy questions) and ensure timely responses
• Follow up on payment status, remittance advice, short pays, and deductions
• Maintain accurate notes and status updates in AR tracker (contact attempts, commitments, dispute reasons, next steps)
• Coordinate with Sales, Distribution, and Finance to resolve billing issues, credits, returns, chargebacks, and customer questions
• Escalate delinquent accounts per policy with clear documentation
• Assist with AR close activities such as aging review, reconciliation, and reporting
• Other duties as may be assigned.

Qualifications and Skills

• 2+ years in collections and/or accounts receivable (B2B preferred)
• Comfortable making outbound collection calls and writing clear, professional emails
• Strong organization: able to manage accounts and follow a structured cadence
• Working knowledge of accounts receivable and dispute management
• Proficient in Office-based worksheet tools such as Excel/Google Sheets (filters, pivots a plus)
• Experience with ERP/accounting systems preferred
• Experience in CPG, distribution, or regulated industries is a plus
• Must be flexible to work night shifts 
• Must be available to work on-site at Zeta Tower, Bridgetowne
