ROLE OVERVIEW

We are looking for a Workforce Planning & Reporting Specialist to be part of our team.

This role will support operational efficiency through accurate headcount tracking, hiring pipeline forecasting, data validation, and performance reporting. This role ensures that resource planning aligns with client requirements and operational needs. The ideal candidate is highly analytical, detail-oriented, and proficient in transforming data into meaningful insights for leadership decision-making.

MAIN RESPONSIBILITIES

Workforce Planning & Capacity Management

  • Track headcount, hiring pipelines, seat capacity, and staffing requirements across all client programs.
  • Develop workforce forecasts based on attrition, hiring trends, and business expansion needs.
  • Collaborate with Operations and TA to validate manpower requirements and timelines.

Reporting, Dashboards & Data Analytics

  • Prepare weekly and monthly business performance dashboards for leadership and clients.
  • Validate data accuracy across rosters, trackers, scorecards, and performance reports.
  • Maintain standardized reporting templates and automate processes where possible.
  • Provide insights on utilization, staffing efficiencies, and emerging trends.

Cross-Functional Support

  • Coordinate with IT, HR, FASHE, and TA on onboarding requirements, system access, seat allocations, and ticket requests.
  • Assist in documenting processes, improving workflow efficiencies, and reducing manual reporting burdens.
  • Support leadership in data-driven decision-making for capacity, staffing, and retention.

Operational Excellence & Continuous Improvement

  • Identify discrepancies, gaps, and inefficiencies in workforce data and propose solutions.
  • Participate in improvement initiatives that enhance reporting standards and operational transparency.

Other Duties:

  • Perform other duties and responsibilities as may be assigned from time to time, consistent with departmental goals and company initiatives.

REQUIREMENTS

  • Bachelor's degree in Business, Statistics, Industrial Engineering, Economics, or a related field.
  • Minimum of 3 years of experience in workforce planning, reporting, data analysis, or WFM roles within a BPO or service-driven environment.
  • Strong analytical and quantitative abilities.
  • High proficiency in Excel/Google Sheets; familiarity with Power BI or similar reporting tools.
  • Strong attention to detail and accuracy in data handling.
  • Ability to communicate insights clearly to leadership and cross-functional teams.
  • Excellent organizational skills and ability to meet deadlines in fast-paced settings.
  • Willing to work night shifts and flexible or shifting schedules.
