ROLE OVERVIEW
We are looking for an Intake Specialist to be part of our team.
The primary focus of this role is to evaluate prospective clients and gather necessary information for case processing, serving as an essential first point of contact for the firm.
MAIN RESPONSIBILITIES
Responsibilities include, but are not limited to:
- Maintain time-service, quality, and production goals using good work queue management and customer service skills.
- Maintain a high level of customer service skills. Present a friendly and professional demeanor.
- Handles a high volume of continuous telephone calls and gathers needed information in a timely manner. The method of transmission can either be inbound or outbound.
- Establish and maintain timely and supportive contact with clients by phone or written correspondence, to provide information regarding documentary requirements, claims procedures, and pertinent timeframes.
- Maintain an organized task list on a daily basis. Set tasks and prioritize activities based on established timelines to ensure no deadlines are missed.
- Answer incoming calls, and respond to client correspondence, including emails and voicemails on a daily basis within acceptable timelines.
- Performs multiple tasks simultaneously.
- Accurately document all contact with prospects, enter all information and outcomes in accordance with current company policies and procedures.
- Meet or exceed specific performance standards approved by management. Standards may change to better reflect the job duties and business needs Respond to phone calls as needed to answer questions for clients/leads.
- Possess excellent communication skills both verbal and written.
- Must be able to work independently and have great organizational skills.
- Data Integrity - Consistently and accurately document/enter information in accordance with current policies and practices
Qualifications:
- At least 1 year of experience in personal injury intake, client services, or a similar role, preferably with U.S. law firms.
- Excellent English verbal and written communication skills.
- Highly organized with the ability to work independently and manage multiple priorities.
- Proven ability to multitask, work in several programs simultaneously, and perform under pressure.
- Strong interpersonal skills and patience when interacting with individuals from diverse backgrounds.
- High attention to detail and a commitment to data integrity and confidentiality.
- Ability to follow instructions accurately and complete tasks efficiently.
- Bilingual in English and Spanish is a plus.
- Must be willing to work a schedule aligned with U.S. Pacific Time business hours.
- Must be able to work on our site 8th Floor Zeta Tower Bridgetowne, C-5 Quezon City.
