Senior Theatre Administrator (Multidisciplinary Group Practice) Panorama, Cape Town
Our client, a Multidisciplinary Facility based in Panorama, Cape Town is seeking to recruit a Senior Administrator to attend to the general theatre booking arrangements of the facility.
Responsibilities & Duties:
- Oversee and ensure timely and accurate authorisations for all procedures and treatments.
- Act as the primary liaison for authorisation-related inquiries from patients, doctors, and internal departments.
- Identify and correct errors.
- Address concerns and queries related to patient administration and authorisation and provide necessary assistance.
- Follow up on pending authorisations and track outstanding approvals and proactively follow up with medical aids.
- Escalate recurring problems to management with proper documentation and evidence.
- Maintain accurate records of authorisation requests, approvals, denials, and resubmissions.
- Ensure all authorisation procedures align with medical aid policies, regulations, and internal guidelines.
- Identify workflow inefficiencies and suggest improvements.
- Assist in training and mentorship of new employees.
- Collaborate closely with the finance, debtors, and administrative teams to ensure seamless operational efficiency.
- System Management Ensure records are appropriately maintained in the system and up to date.
- Develop policies and procedures for the authorisation department.
Departmental Responsibilities:
- Scheduling of appointments and theatre bookings on the calendar.
- Obtain authorisation from the medical aid.
- Complete all the necessary documentation to track the authorisation process.
- Collaborate with medical schemes, healthcare providers, and patients to obtain authorisation.
- Manage authorisation challenges that have been escalated to you.
- Communicate and confirm the date and place of appointments and procedures with patients, based on the doctor's availability and instructions, as well as the availability of theatre slates.
- Update the patient information on the company's systems.
- Update the theatre list and distribute to all relevant parties.
- Book follow-up appointments in accordance with company policy.
Qualifications & Requirements:
- Matric
- Proven experience in patient administration.
- Experience in the management of a small team of employees.
- Proficiency in using computer systems, including billing software and Microsoft Office applications.
- Afrikaans and English (verbal & written)
- Own transport and valid drivers licence

Working Hours:
Monday to Friday, 08h00 to 17h00
