A specialist Gastroenterology practice based at Morningside, Sandton is seeking to recruit a Practice Manager / Practice Administrator to oversee operational, billing, and patient coordination functions within a busy procedural private practice. The successful candidate will work closely with the clinical team and external service providers to ensure efficient workflow, accurate billing processes, and a high standard of patient care.

Roles and Responsibilities (but not limited to):

  • Manage consulting diaries, procedure bookings, and theatre scheduling
  • Coordinate endoscopy and theatre lists with hospitals and anaesthetists
  • Schedule consultations, follow ups, urgent appointments, cancellations, and rescheduling
  • Confirm appointments and patient pre procedure requirements
  • Manage patient communication via phone, WhatsApp, email, and online platforms
  • Register and maintain patient information on VeriClaim and HealthBridge
  • Upload referrals, investigations, and supporting patient documentation
  • Coordinate consent documentation, admissions, and discharge arrangements
  • Capture consultations and procedures for billing purposes
  • Generate invoices, receipts, and account statements
  • Obtain medical aid authorisations and assist with clinical motivations where required
  • Liaise with hospitals regarding procedure billing, consumables, and coding verification
  • Follow up on short payments, billing queries, and reconciliations
  • Coordinate Discovery HealthID GI endoscopy reporting submissions
  • Communicate with hospital wards, laboratories, radiology departments, and referring doctors
  • Manage patient queries, complaints, and escalations professionally
  • Oversee practice supplies, consumables, and administrative workflow systems
  • Maintain digital filing systems and practice task management processes
  • Support workflow improvement and operational efficiency initiatives

Qualification and Requirements:

  • Matric / Grade 12 essential
  • Minimum 3 years' experience as a Practice Manager, Senior Medical Administrator, or similar role within a specialist private practice
  • Experience within a procedural or surgical practice advantageous
  • Experience with medical aid billing, authorisations, and reconciliations
  • Familiarity with VeriClaim and HealthBridge advantageous
  • Experience within a Mediclinic or private hospital environment advantageous
  • Relevant tertiary qualification in medical practice management, office administration, bookkeeping, or related field advantageous
  • Strong computer literacy and willingness to learn new systems essential
  • Exposure to Discovery HealthID, Google Workspace, Asana, Heidi, and Microsoft Office advantageous
