Purchasing Supervisor

Oversees purchasing operations, supplier sourcing, and import documentation. Ensures timely procurement, inventory control, and smooth production-to-shipment flow, while supervising the purchasing team.

Key Responsibilities

  • Communication & Coordination
    Serve as the primary contact for client purchase requests.
    Coordinate with suppliers for quotations, negotiations, and sourcing.
    Liaise with clients regarding order status, production timelines, and shipment schedules.

  • Strategic Sourcing & Quotation Handling
    Identify and evaluate potential suppliers for quality, cost, and delivery capability.
    Handle RFQs (Request for Quotations) and ensure competitive pricing and terms.
    Maintain supplier relationships and develop alternative sources to avoid supply gaps.

  • Order & Inventory Management
    Manage purchase orders (POs), pending requests, and shipment follow-ups.
    Conduct regular inventory checks to avoid zero-stock situations.
    Place urgent orders based on production and demand requirements.
    Review and check design files for alignment with production requirements.

  • Importation Knowledge
    Prepare and review import documents including Bill of Lading, Commercial Invoice, Draft Forms, and Packing List.
    Coordinate with logistics partners for timely customs clearance and delivery.

  • Monitoring & Reporting
    Track production lead times and align completion with shipping schedules.
    Generate regular reports on POs, inventory status, and supplier performance.
    Use Excel and other tools for procurement tracking and analysis.

  • Team Leadership
    Supervise and guide the purchasing team in daily operations.
    Assign tasks, monitor progress, and ensure adherence to deadlines.
    Provide training and mentorship to team members to enhance performance.

Skills & Qualifications

  • Strong communication, problem-solving, and organizational skills.
    Adaptable, able to multitask and prioritize.

  • Knowledge in strategic sourcing, import processes, and inventory control.

  • Proficiency in Excel; team leadership experience.

  • Bachelor’s degree in Business, Supply Chain, or related field; 3+ years in purchasing (with supervisory experience preferred).
