We are seeking a highly organized, proactive, and detail-oriented Executive Assistant (EA) to support our CEO. The ideal candidate is a self-starter who thrives in a dynamic environment, anticipates needs, and handles confidential information with discretion. This role is critical to maximizing the CEOs efficiency and effectiveness.

Key Responsibilities

  • Calendar & Schedule Management: Coordinate and manage the CEOs schedule, including meetings, appointments, and travel.

  • Communication: Draft, proofread, and manage internal and external communications on behalf of the CEO.

  • Meeting Preparation: Prepare agendas, briefing documents, and take detailed meeting notes with action items.

  • Project Management: Assist in managing and tracking key projects, ensuring deadlines and deliverables are met.

  • Travel Coordination: Plan and book domestic/international travel, including flights, accommodations, and itineraries.

  • Inbox & Task Management: Monitor and prioritize emails and other communications; flag urgent items.

  • Stakeholder Liaison: Serve as a key point of contact for internal and external stakeholders.

  • Confidentiality & Discretion: Handle sensitive information with the utmost professionalism and confidentiality.

Qualifications

  • 3+ years of experience as an Executive Assistant, ideally supporting C-level executives in a remote environment.

  • Exceptional organizational and time-management skills.

  • Excellent written and verbal communication skills.

  • Proficiency in Google Workspace, Slack, Zoom, and project management tools (e.g., Asana, Notion, Trello).

  • Ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism.

  • Comfortable working across time zones and managing flexible hours when necessary.

Preferred Qualifications

  • Experience in a fast-paced startup or high-growth environment.

  • Familiarity with basic business operations, finance, or investor communications.

  • Previous experience supporting a remote executive.
