Project Administrator Site Wide Services Construction Project
Location: Highland Valley Copper Mine Site, near Logan Lake, BC
Job Type: Full-Time
Schedule: 5 days on, 2 days off (Monday - Friday) - 10-hour shifts
Reports To: Project Manager
About the Role:
We are seeking a reliable, organized, and detail-oriented Project Administrator to join our Site Wide Services team at Highland Valley Copper. This multi-year construction project is expected to run through the end of 2027.
As a key member of the team, you will provide critical administrative and coordination support to ensure the successful execution of project activities. You will act as the central hub for project communications, ensuring that information flows effectively between field teams, project management, and the client.
This is a dynamic, fast-paced project that requires a candidate who can prioritize multiple priorities efficiently and professionally, adapt to changing demands, and maintain high attention to detail under pressure. The role includes managing and maintaining project documentation, tracking materials and equipment, coordinating schedules and meetings, and assisting with onboarding and compliance tasks. You will play a vital role in supporting operational efficiency, project reporting, and overall site organization.
Your contributions will directly impact the projects ability to meet timelines, maintain compliance, and exceed client expectations.
Key Responsibilities:
- Maintain accurate and organized project documentation, including contracts, work orders, RFIs, change orders, and daily reports.
- Compile and submit weekly and monthly project reports for internal and client review.
- Coordinate schedules, meetings, and communications between project management, site supervisors, and subcontractors.
- Assist with onboarding of personnel, including site access requests, orientations, and training records.
- Track equipment, materials, and supplies; support requisitions and deliveries to various site locations.
- Maintain organized work areas, trailers, and laydown yards for project documentation and administration.
- Support payroll submissions, timekeeping, and basic financial tracking as required.
- Ensure compliance with Teck MLE site procedures, safety regulations, and project standards.
- Proactively communicate with supervisors and teammates to ensure smooth coordination of daily activities.
- Assist with general site-wide services activities as needed to support project success.
- Identify opportunities for process improvement in administrative workflows.
- Maintain and update project schedules, trackers, and logs to ensure accurate real-time project information.
- Coordinate and document safety meetings, toolbox talks, and compliance training records.
- Support procurement processes, including issuing purchase orders and tracking vendor communications.
- Monitor project budgets and expenditures, assisting in reporting variances to the Project Manager.
- Facilitate communication with contractors and subcontractors to ensure timely completion of administrative requirements.
- Provide general administrative support to the project management team to help meet project milestones and deadlines and contribute to project success.
Qualifications & Experience:
- Previous experience in project administration or site administration within construction, mining, or heavy industrial environments.
- Strong proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint) and comfort adapting to client-specific systems.
- Excellent organizational, multitasking, and communication skills.
- Preference will be given to candidates who reside in the Kamloops and Merritt local area.
- Reliable transportation to shuttle pick-up locations in Kamloops or Merritt.
- Demonstrated commitment to safety, professionalism, and attention to detail.
Preferred Assets:
- Experience with document control systems and construction project reporting.
- Experience coordinating site logistics, materials tracking, or personnel onboarding.
- Additional safety training such as WHMIS, First Aid, or Ground Disturbance.
- Strong communication and interpersonal skills.
- Proficiency with MS Office and project management software.
- Ability to work independently and manage multiple priorities.
- Attention to detail and problem-solving skills.
Additional Information:
- Schedule: 5 days on, 2 days off (Monday - Friday) - 10-hour shifts.
- Transportation: Daily shuttle service from Merritt and Kamloops to the HVC Mine Site.
- Accommodation: Local candidates or commuters preferred; no camp available.
