About the job Executive Assistant
Our client, a prominent communication business in Dublin, seeks an Executive Assistant to the CEO for a 12 month maternity cover.
As the EA to the CEO, you will play a pivotal role in providing high-level administrative support, requiring utmost discretion, impeccable organisational skills, and the ability to handle pressure with poise.
The role is hybrid, with 3 days per week in the Office.
Key Responsibilities:
Diary and Inbox Organisation:
- Efficiently manage the CEO's diary, including scheduling appointments, meetings, and conference calls across multiple time-zones.
- Monitor and manage the CEO's inbox, prioritising and responding to emails promptly and effectively.
Events and Travel Arrangements:
- Coordinate and manage logistics for events, meetings, and travel arrangements for the CEO, ensuring seamless execution.
- Assist in arranging travel accommodations, including flights, accommodation, and transportation, with a focus on efficiency and cost-effectiveness.
Proactive Support:
- Anticipate the CEO's needs and act proactively to ensure smooth operations and timely completion of tasks.
- Handle pressure with grace and composure, maintaining a proactive approach to problem-solving and decision-making.
Discretion and Confidentiality:
- Handle sensitive information with the utmost discretion and confidentiality, maintaining professionalism at all times.
- Uphold confidentiality in all communications and interactions, ensuring the CEO's privacy and security are safeguarded.
Qualifications:
- Proven experience as an executive assistant or in a similar role supporting senior executives, preferably to a CEO.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Exceptional organisational and time management skills, with the ability to prioritise tasks effectively.
- Strong attention to detail and accuracy in work, with the ability to handle multiple tasks simultaneously.
- Excellent verbal and written communication skills, with the ability to liaise effectively with internal and external stakeholders.
- Ability to work independently with minimal supervision and as part of a team.
- Flexibility and adaptability to changing priorities and deadlines.
- Professional demeanour and interpersonal skills to interact with individuals at all levels.
- Prior experience in a fast-paced corporate environment is advantageous.
