Working Hours: Full-time, Monday to Friday, 4:00 PM 1:00 AM Cairo Time (aligned with US Central Time)

Job Overview:

We are seeking a proactive and organized Administrative Assistant to support our administrative operations. The ideal candidate will assist with data entry, internal coordination, scheduling, communication, and documentation, while maintaining strong attention to detail and excellent organizational skills. A basic financial understanding is highly preferred, especially experience with collections, accounts receivable, or related administrative finance tasks.

Key Responsibilities:

Administrative Support:

  • Provide general support to the administrative team, including data entry, file management, and documentation.
  • Coordinate and track tasks related to Purchase Orders (POs), Change Orders (COs), and Time & Material (T&M) tickets.
  • Maintain and update internal logs and trackers for administrative and account management use.
  • Follow up on pending tasks and help prepare regular reports and write-ups.

Communication & Coordination:

  • Monitor shared inboxes and support timely communication with clients and team members.

  • Act as a liaison between internal teams such as accounting, purchasing, and project coordination.

  • Support with meeting coordination, follow-ups, and action item tracking from weekly and monthly meetings.

Organization & Project Support:

  • Compile and organize information for project and production trackers.

  • Collect basic project details (start dates, contacts, etc.) and help with scheduling support tasks.

  • Assist with billing-related tasks by compiling and verifying data for accurate reporting.

Requirements:

  • Fluency in English (spoken and written)

  • Strong organizational and multitasking abilities

  • Excellent interpersonal and communication skills

  • Ability to manage time effectively

  • High attention to detail and accuracy

  • Proficient in Microsoft Office Suite (Excel, Outlook, Word)

  • Basic financial understanding or prior experience with collections/accounts receivable is a plus

  • Experience with QuickBooks is a bonus, but not required
