Role Overview
We are seeking a reliable, organized, and detail-oriented Office Assistant, Mail Management to support daily mailroom operations, document handling, mail distribution, and system record maintenance within a telecommunication environment.
The selected candidate will be responsible for receiving, sorting, prioritizing, dispatching, and recording incoming and outgoing mails while ensuring urgent, legal, regulatory, and sensitive communications are handled accurately and without delay.
Key Responsibilities
Mail Receipt and Handling
- Collect and receive daily incoming mails in an organized and timely manner.
- Handle approximately 80 to 100 mails per day with accuracy and responsibility.
- Ensure all received mails are checked, recorded, and routed correctly.
- Maintain confidentiality and care when handling sensitive documents.
Sorting and Prioritization
- Sort incoming mails according to department, urgency, and document type.
- Identify critical communications such as TRC regulatory notices, legal letters, and LT documents.
- Prioritize urgent and sensitive mails to ensure they are handled without delay.
- Escalate important or time-sensitive documents to the relevant stakeholders promptly.
Mail Dispatch and Inter Office Delivery
- Ensure urgent mails are dispatched immediately to the correct teams or stakeholders.
- Manage inter office mail distribution to other office buildings when required.
- Coordinate mail delivery to locations such as Akbar DBN and other assigned office premises.
- Ensure incoming and outgoing mail movements are completed efficiently and reliably.
System Updates and Record Maintenance
- Enter all received mails into the system for record purposes.
- Maintain accurate mail records, dispatch logs, and delivery details.
- Ensure records are updated on time and can be accessed when required.
- Support proper documentation to avoid issues in regulatory, legal, or operational matters.
Operational Accuracy and Support
- Maintain efficiency and reliability in all mailroom activities.
- Ensure no delays or errors occur in handling legal, regulatory, or sensitive communications.
- Support general office administration and document movement when required.
- Follow internal procedures and maintain a professional approach in daily operations.
Candidate Profile
- Previous experience in office assistance, mailroom operations,
- document handling, administration, or a similar role will be an advantage.
- Ability to handle a high volume of daily mail with accuracy.
- Good attention to detail and strong organizational skills.

Basic computer literacy and ability to update records in a system.
Ability to identify urgent and sensitive documents and act promptly. - Good communication and coordination skills.
- Reliable, punctual, responsible, and able to work with minimum supervision.
- Ability to maintain confidentiality when handling legal, regulatory, and official documents.
