WE ARE HIRING: Executive - Documentation


Working Days: Monday to Friday 
Working Hours: 8:30 AM to 5:00 PM
Location: Colombo, Sri Lanka
Industry: Shipping & Logistics 

Employment Type: Full-Time (On-site)
Salary: Market rate Negotiable

Key Responsibilities:

  • Retrieve and process pre-alert documents from agents and principal systems; send arrival notices and release Delivery Orders (DOs) upon payment and document clearance.

  • Manage correspondence with agents, principals, and customers, ensuring timely acknowledgment of documents and resolution of queries.

  • Liaise with local authorities (port/customs) to ensure smooth cargo clearance aligned with current regulations.

  • Coordinate vessel documentation and submissions to meet deadlines and Principal KPIs.

  • Follow up on uncollected DOs, pending shipments, and documentation issues with agents and customers.

  • Maintain accurate job files, update statuses, and ensure timely handling of Debit Notes and Credit Notes.

  • Engage with customers, offering accurate information, market insights, and opportunities for value-added services.

  • Track transshipments and provide timely updates to customers and agents.

Candidate Profile:

  • Diploma or Degree in Business Management, Shipping, or Logistics.

  • Experience in Documentation (Import & Export) in a similar industry preferred (Minimum 3 years is ideal but not mandatory).

  • Strong command of English written and verbal.

  • Proficient in Microsoft Office packages.

  • Strong coordination, analytical, and negotiation skills.

  • Outgoing personality with a team-oriented mindset.
