Role Overview

We are seeking a pleasant, organized, and customer focused Assistant Telephone Operator Cum Coordinator to support telephone operations, front office coordination, customer communication, administrative work, invoicing support, and ERP related tasks within the electronic items industry.

The selected candidate will be responsible for answering and directing calls, handling customer inquiries, welcoming visitors, supporting administrative duties, and coordinating daily office operations in a professional and timely manner. This role is ideal for a disciplined and reliable individual with strong communication skills, telephone etiquette, and the ability to multitask in a busy office environment.

Key Responsibilities

Telephone Operations and Customer Support

  • Answer, screen, and direct inbound telephone calls promptly and courteously.
  • Handle customer inquiries and basic complaints professionally.
  • Provide accurate information or transfer calls to the relevant departments when required.
  • Ensure smooth operation of telephone systems and internal communication.
  • Maintain a polite, helpful, and professional tone in all customer interactions.

Front Office and Visitor Coordination

  • Greet and welcome visitors in a professional and friendly manner.
  • Ensure visitors are directed to the relevant person or department.
  • Maintain a positive first impression for customers, suppliers, and other stakeholders.
  • Support front office coordination and day to day reception related activities.

Administrative Support

  • Assist with general administrative duties including filing, data entry, photocopying, and correspondence.
  • Maintain accurate records and support documentation requirements.
  • Coordinate with internal departments to support smooth office operations.
  • Assist with general operational coordination as required by the team.

Invoicing and ERP Support

  • Support invoicing processes and related documentation.
  • Assist with ERP system related tasks as assigned.
  • Ensure data entered into systems is accurate and updated on time.
  • Coordinate with relevant teams to support invoice processing and system updates.

Office Coordination and Multitasking

  • Handle multiple tasks efficiently in a busy front office environment.
  • Support daily communication between customers, internal teams, and external parties.
  • Maintain good organization and time management in all assigned duties.
  • Ensure office support tasks are completed accurately and within required timelines.

Candidate Profile

  • Minimum GCE Advanced Level qualification or equivalent.
  • Prior experience as a receptionist, front desk officer, telephone operator, customer service assistant, or coordinator will be an added advantage.
  • One to two years of relevant experience will be preferred, but not mandatory.
  • Excellent verbal and written communication skills in English and Sinhala.
  • Tamil language skills will be an added advantage.
  • Pleasant personality with a professional appearance and positive attitude.
  • Strong telephone etiquette and interpersonal skills.
    Ability to multitask and work efficiently in a busy front office environment.
  • Basic proficiency in MS Office applications, including Word, Excel, and Outlook.
  • Good organizational and time management skills with attention to detail.
    Reliable, punctual, and able to work as part of a team.
