Role Overview

We are seeking a detail-oriented and commercially driven Bid Manager – Software Tenders to manage the complete tender process for software and ERP solution-related opportunities.

The selected candidate will be responsible for identifying tender opportunities, coordinating RFP/RFI responses, preparing proposals, managing documentation, and ensuring timely and compliant submissions for both private and government sector bids. This role requires strong experience in software tender management, stakeholder coordination, business development support, and the ability to work under tight deadlines with high accuracy.

Key Responsibilities

Tender Management & Proposal Submission

• Manage the complete tender process from opportunity identification to final proposal submission.
• Prepare and submit tenders, quotations, costings, and related bid documents accurately and on time.
• Handle tender-related activities including RFPs, RFIs, due diligence questionnaires, surveys, and other required documentation.
• Ensure all tender submissions comply with private sector and government sector requirements.
• Maintain organized records of all tender documentation, submissions, clarifications, and approvals.

Bid Coordination & Stakeholder Management

• Coordinate with internal teams and external stakeholders to ensure timely and complete tender submissions.
• Work closely with sales, marketing, technical, finance, and management teams to gather required inputs.
• Attend pre-bid meetings and clarify requirements to ensure accurate proposal preparation.
• Follow up with stakeholders to obtain information, approvals, and supporting documents within deadlines.
• Build and maintain strong relationships with key stakeholders involved in the bidding process.

Tender Opportunity Monitoring & Business Development Support

• Monitor tender opportunities from various local and international channels.
• Evaluate potential bids and recommend suitable opportunities aligned with business goals.
• Support sales and marketing teams in building pipelines and submitting competitive proposals.
• Stay updated on industry trends, market dynamics, and competitor activities.
• Contribute to business growth by supporting winning tender strategies and deal closures.

Compliance, Accuracy & Deadline Management

• Review tender requirements carefully and ensure all mandatory documents are included.
• Maintain high accuracy in proposal content, pricing, compliance documents, and submission formats.
• Work under tight deadlines while ensuring attention to detail and quality.
• Support multiple tender projects simultaneously with proper planning and prioritization.
• Be willing to work extended hours when required to meet critical submission deadlines.

Candidate Profile

• Bachelor's degree or equivalent professional qualification in Marketing, Business, or a related field from a recognized institution.
• Proven experience in managing tenders within the IT software solutions sector.
• Experience in handling tenders in Sri Lanka will be highly preferred.
• Familiarity with both private sector and government sector bidding processes.
• Good understanding of ERP systems and IT solutions will be a strong advantage.
• Strong written and verbal communication skills in English.
• Strong negotiation skills with the ability to build and maintain stakeholder relationships.
• Excellent organizational skills with the ability to manage multiple projects simultaneously.
• Ability to work under tight deadlines while maintaining accuracy and attention to detail.
• Proficiency in CRM software, sales analytics tools, and MS Office applications will be preferred.
• Commercially aware, proactive, and capable of supporting business development objectives.
