Role Overview

We are seeking a detail-oriented and organized Disbursement Accounts Executive to support disbursement accounting activities, PDA/FDA submissions, invoice coordination, bill checking, system updates, and monthly reporting within the logistics industry.

The selected candidate will be responsible for preparing and submitting PDA/FDA documents to clients, hubs, and online platforms, coordinating with internal teams, port authorities, and third-party vendors, finalizing bills and invoices, and maintaining accurate monthly statistics for management reporting.

Key Responsibilities

PDA / FDA Submission & Coordination

• Prepare and submit PDA/FDA documents to clients, hubs, and online platforms.
• Ensure all required disbursement account documents are submitted accurately and on time.
• Follow up with relevant parties to ensure timely approvals and responses.
• Maintain proper records of submissions and related communication.

Invoice Collection & Vendor Coordination

• Coordinate with internal teams, port authorities, and third-party vendors for invoice collection.
• Ensure invoices are received within the required timeline of 7 days.
• Follow up on pending invoices and supporting documents.
• Maintain clear communication with vendors and relevant stakeholders.

Bill Checking & System Updates

• Check and verify all bills and invoices for accuracy before finalization.
• Ensure invoice details are complete, accurate, and properly supported.
• Finalize bills and upload required information into Gensoft.
• Maintain accurate system records related to disbursement accounting activities.

Reporting & Documentation

• Maintain monthly statistics related to disbursement accounts and operational activities.
• Prepare and forward monthly reports to management.
• Ensure all documents, invoices, and records are filed and maintained properly.
• Support process improvements to ensure accuracy, efficiency, and timely reporting.

Candidate Profile

• Minimum 1–2 years of experience in disbursement accounts, logistics operations, shipping documentation, finance operations, or a related role.
• Freshers are welcome to apply.
• Experience in the logistics, shipping, port operations, or marine services industry will be an added advantage.
• Knowledge of PDA/FDA processes will be preferred.
• Experience working with Gensoft or similar operational/accounting systems will be an added advantage.
• Strong attention to detail and accuracy in handling bills, invoices, and reports.
• Good communication and coordination skills.
• Ability to follow up with internal teams, port authorities, clients, and vendors.
• Good computer literacy and documentation skills.
• Ability to work under deadlines and manage multiple tasks effectively.
