What you'll do:

Virtual Sales Assistant is a remote sales-support role responsible for providing high-quality administrative, coordination, and sales-operations support to the Head of Sales and Marketing and the Business Development team. This position keeps the sales engine running smoothly — managing CRM data, preparing proposals and presentations, coordinating prospect and partner communications, scheduling meetings, and maintaining accurate pipeline and reporting — so the team can focus on building relationships, selling, and closing. This role combines strong organisational discipline and attention to detail with a proactive, service-minded approach, requiring the ability to manage competing priorities across a busy, fast-moving team and to collaborate with Marketing, Pre-sales, Delivery, and Client Success.

Key responsibilities for this role include:

CRM & Sales Operations Support

  • Maintain accurate, up-to-date records of leads, contacts, accounts, opportunities, and activities in the CRM (Microsoft Dynamics 365 or equivalent).
  • Update pipeline stages, deal values, and close dates on behalf of the BDM team, and flag records that need attention.
  • Prepare and distribute regular sales and pipeline reports and dashboards for the Head of Sales and the SLT.
  • Run data-hygiene routines — de-duplication, enrichment, and clean-up — to keep CRM data reliable.
  • Log and track sales activities, meetings, and follow-ups so nothing slips through the cracks.

Proposal, Presentation & Bid Support

  • Prepare, format, and proofread proposals, quotes, presentations, and tender responses using ECLEVA templates and branding.
  • Coordinate inputs from Marketing, Pre-sales, and Delivery to assemble proposals within the 4-7 business day turnaround.
  • Maintain a library of reusable sales collateral, case studies, capability statements, and templates.
  • Monitor tender portals, track submission deadlines, and support bid and tender lodgements.

Lead, Prospect & Partner Coordination

  • Research and work with the B2B EDM and Performance Specialist to build target prospect and partner lists (MSPs, IT Consultants, and ISVs) for the BDM team.
  • Prepare pre-meeting briefs and account research so BDMs walk into meetings well prepared.
  • Manage outbound email sequences, follow-ups, and nurture touchpoints under the direction of the BDM team.
  • Coordinate partner communications and maintain partner contact records in collaboration with Marketing.
  • Schedule prospect, client, and partner meetings, manage invitations, and send confirmations and reminders.

LinkedIn & Social Selling Support

  • Grow the LinkedIn networks of the Head of Sales and the BDMs by sending targeted connection requests to prospects, partners, and industry contacts.
  • Draft and send personalised connection notes, follow-ups, and messages on behalf of the team — in their voice and within LinkedIn's usage limits.
  • Build target audience and lead lists using LinkedIn and Sales Navigator to identify decision-makers at prospect and partner organisations.
  • Monitor LinkedIn activity — accepted connections, replies, and engagement — and flag warm leads to the relevant BDM for follow-up.
  • Schedule and publish approved posts, comments, and reshares to keep the team visible and active with their network.
  • Track and report on network growth, connection acceptance, and engagement to support social-selling goals.

Systems Implementation & Process Support

  • Support the setup, configuration, and ongoing administration of sales systems and tools (CRM, sales-engagement, and reporting platforms).
  • Assist with implementing new sales tools, including testing, user setup and training.
  • Document and maintain sales processes, standard operating procedures, and how-to guides.
  • Help onboard new BDMs to sales systems, templates, and ways of working, and identify opportunities to streamline and automate repetitive tasks.

General Administrative Support

  • Provide diary, inbox, and meeting-coordination support to the Head of Sales as required.
  • Take notes and minutes in sales meetings and circulate clear actions and follow-ups.
  • Prepare agendas, collate materials, and handle general sales-team administration.

Successful candidates must have:

  • Minimum 2-3 years' experience in sales support, sales administration, sales coordination, or a virtual assistant role — ideally supporting a B2B or IT/technology sales team.
  • Hands-on experience with CRM systems (Microsoft Dynamics 365, HubSpot, or similar), including data entry, reporting, and pipeline maintenance.
  • Strong proficiency across Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, and SharePoint).
  • Confident using LinkedIn and LinkedIn Sales Navigator for connection building, social selling, and prospect research.
  • Excellent written and verbal English, with a professional, client-ready communication style.
  • Highly organised, with strong attention to detail and the ability to manage multiple priorities and deadlines.
  • Proactive, reliable, and able to work independently in a remote setting with minimal supervision.
  • Discreet and trustworthy in handling confidential client and commercial information.
