What you'll do:

As a Workforce Planner, you are responsible for ensuring that work coming into the Technology team is scheduled and prioritised to meet both client and internal expectations and to optimise capacity utilization. Also, ensure job information is as correct and up-to-date as possible, before engaging a Tech resource avoiding the need for rework and delays.

Key responsibilities for this role include:

  • Maintain Tech Schedule and Resource Allocation
    • Accept new Tech work via Client Services, and maintain the scheduling system to track and monitor job timeframes.
    • Coordinate and liaise with Tech Team Leaders to determine the best tool or system or team personnel to assign work to. This will be determined by various factors: cross-training and staff development, quality, speed, and experience.
    • Attend production schedule meetings to help convey the status of existing work as well as any updates.
    • Take proactive steps where customer requirements and timelines cannot be met by following relevant processes and escalation.
    • Liaise with team members regularly and as required to review the status on jobs, highlighting any significant variance that may impact either job completion or subsequent jobs progress and re-schedule as required.
    • Provide forewarning to department managers if overtime or weekend shifts may be required to meet client requirements or because of output not meeting planned targets.
    • Monitor the next 5-10 days obtaining updates on jobs due to begin in each area confirming they are on track or re-planning if delays are experienced.
    • Maintain planning of future (medium & long-term) Technology projects and jobs, to ensure resource allocation and scheduling is appropriate to deal with major spikes of resource requirements.
  • Incoming Data Receipt for non-automated jobs
    • Responding to incoming data with an acknowledgment to client contacts, Client Services, and sometimes Account Managers via email, with the established process of a Data Receipt.
    • During this process, a quick check of the data contents, quantities, and ideally early identification of potential issues, are raised for internal and external parties.
    • Updating the Management Information System with accurate data quantities and status is essential.
  • Quality Assurance
    • Be involved in and learn the processes of the current workflows and be able to assist with QA tasks, in validating brief requirements by logging and/or reporting brief errors.
    • Perform peer review QA checks using existing QA documents and checklists and ensure QA standards are upheld within the entire Tech team.
  • Reporting requirements
    • Log statistics on work passing through Scheduling.
    • Provide period reporting on work In Vs work out plus other department BI metrics.

Successful candidates must have:

  • Bachelor's degree in Information Technology or a related course.
  • At least 3-5 years as a scheduler, preferably within a technology team.
  • Prior experience in the Direct Communications Industry is advantageous.
  • Previous involvement in a production environment is beneficial.
  • Proficiency in MS Tools, BI metric software, and quality assurance, with a keen attention to detail and excellent time management.
  • Knowledgeable in Workforce Management tools and software for scheduling, workflow, and data management.
  • Acquainted with Quality Assurance processes.
  • Communication: Exceptional communication and interpersonal abilities.
  • Willingness to work on-site in Alabang, Muntinlupa.
