What you'll do:

The Administrative Assistant will play a vital role in supporting the logistics and operations team by managing key administrative tasks that contribute to the efficient running of daily business activities. This role requires someone who can stay organized, manage competing priorities, and work with accuracy in a fast-paced environment.

Key responsibilities for this role include:

  • Perform accurate and timely data entry into our freight management system (FMS).
  • Monitor and refresh our booking system to secure wharf time slots as they become available.
  • Respond to simple client and partner emails, escalating complex queries as needed.
  • Assist with scheduling shipments, pickups, or deliveries through internal and external systems.
  • Help create or schedule basic social media posts (optional/occasional).
  • Prepare and maintain internal documents, reports, and shipment records.
  • Support general office duties including document filing, record keeping, and office supply inventory.
  • Assist in coordinating communication between internal departments and external logistics partners.
  • Maintain a professional and courteous approach in all interactions.

Successful candidates must have:

  • Previous experience in a logistics, supply chain, or transportation-related administrative role preferred.
  • Proficiency in data entry, scheduling systems, and email correspondence.
  • Strong computer skills, including Microsoft Office Suite (Excel, Outlook, Word).
  • Familiarity with freight management systems (preferred but not requiredtraining provided).
  • Excellent attention to detail and organizational skills.
  • Strong written and verbal communication abilities.
  • Ability to work independently and prioritize tasks efficiently.
  • High school diploma or equivalent; further education in logistics or administration is a plus.

Work Arrangements:

  • Schedule: 6:00 AM - 3:00 PM (Philippine Time)
  • Work Setup: On-site - Be part of a collaborative and energetic team in a professional office environment.
  • Location: Parkway Corporate Center, Alabang, Muntinlupa City
