What you'll do:
As a Virtual Executive Assistant, you will provide proactive, high-level administrative, organisational, and communication support to the General Manager and CEO. You will manage diaries, coordinate meetings, and ensure both leaders are fully prepared for client, staff, and partner engagements. You will draft professional correspondence, review standard contracts, manage executive LinkedIn presence, and support preparation of polished reports and presentations. In addition, you may assist in driving internal projects, ensuring initiatives are tracked and delivered on time. This role requires versatility, balancing strategic support (research, contract review, LinkedIn engagement, internal projects) with attention to detail on day-to-day administration (scheduling, formatting, expenses). You will be trusted to protect time, ensure follow-through, and maintain professional standards across all outputs.
Key responsibilities for this role include:
- Diary & Time Management
- Proactively manage complex calendars for GM and CEO.
- Coordinate meetings and ensure agendas, documents, and decisions are prepared in advance.
- Anticipate scheduling conflicts and recommend solutions.
- Communication & Correspondence
- Draft, edit, and proofread emails, letters, and announcements to clients, partners, and staff.
- Ensure clarity, tone, and professionalism in all written communications.
- Maintain confidentiality and exercise sound judgment in sensitive matters.
- Document & Presentation Support
- Create, format, and finalise professional PowerPoint decks, Word documents, and reports.
- Develop and maintain document templates for consistent use.
- Conduct light research and incorporate findings into executive-ready briefs.
- Contract & Document Review
- Review standard contracts and agreements, highlighting clauses, risks, or considerations for leadership.
- Track contract status, follow up with stakeholders, and support execution.
- Maintain a contract register in line with governance processes.
- LinkedIn & Online Presence
- Manage LinkedIn accounts for CEO and GM, including content posting, scheduling, and messaging.
- Draft posts that align with ECLEVAs brand and strategy.
- Monitor and respond to LinkedIn messages, escalating important connections or opportunities.
- Organisational & Project Support
- Prepare meeting briefs and action logs.
- Manage travel bookings, expenses, and an executive pack of key contacts and priorities.
- Track and follow up on commitments to ensure accountability.
- Support and coordinate internal projects and initiatives (e.g., process improvement, EOS rollouts).
Successful candidates must have:
- 5+ years experience in an Executive Assistant, Virtual Assistant, or senior administrative role.
- Advanced Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) and collaboration tools (Teams, SharePoint).
- Strong business writing and editing skills, with ability to draft professional correspondence independently.
- Experience reviewing standard contracts and identifying key considerations.
- Skilled in managing LinkedIn presence for senior executives.
- Proven ability to coordinate internal projects and manage competing priorities.
- Highly organised with excellent attention to detail.
- Discreet, trustworthy, and able to handle confidential information.
- Proactive self-starter with strong problem-solving ability.
Work Arrangements:
- Schedule: 6:00 AM - 3:00 PM (Philippine Time)
- Work Setup: On-site - Be part of a collaborative and energetic team in a professional office environment.
- Location: Parkway Corporate Center, Alabang, Muntinlupa City
