FLSA Status: Full-time, Exempt     Compensation: $70,000 Annually

We are looking to for a Chief of Staff to work directly with the CEO and other executives. This is an exciting opportunity for an individual with an entrepreneurial spirit to streamline high important projects and conduct leadership level (internal and external) initiatives that have high impact on the company’s business objectives. The Chief of Staff possesses strong leadership qualities and is detail-oriented, organized, analytical and strategic thinker.

Position Summary: We've experienced rapid growth because of increased efficiency and productivity. To continue this trajectory, we're searching for a Chief of Staff to work closely with our executive team. From day one, the Chief of Staff will have immediate impact of our productivity, streamlining strategic initiatives, overseeing program management, and communicating objectives between departments.

  • Answer and transfer phone calls, screening when necessary.
  • Act as the point of contact among executives, employees, clients, and other external partners.
  • Format information for internal and external communication – memos, emails, presentations, reports.
  • Prepare agendas and schedules for meetings.
  • Retrieve information as requested from records, e-mail, minutes, and other related documents; prepare written summaries of data when needed.
  • Prepare meeting materials including questionnaires to be sent to and collected from prospective clients prior to meeting.
  • Create proposals and write estimates for prospective clients post-meeting.
  • Contacting prospective clients to schedule sales meetings and follow-up meetings.
  • Manage calendar and create calendar invites, coordinating meeting attendees and sending reminders for upcoming meetings.
  • Coordinate and schedule travel, meetings, and appointments, must be available to attend in person when requested.
  • Organize and maintain the office filing system.
  • Review and conduct research for RFP’s and grants.
  • Deliver proposals and follow up with next steps.
  • Write emails on behalf of the CEO.
  • Manage information flow in a timely and accurate manner.
  • Welcome and direct visitors and clients.

Skills and Requirements:

  • Excellent MS Office knowledge
  • Outstanding organizational and time management skills
  • Tech savvy, familiarity with software applications, Slack, Asana, Pipedrive
  • Excellent verbal and written communications skills
  • Discretion and confidentiality
  • Ability to multi-task and maintain several projects at once
  • Timely follow up with clients and ability to ensure no steps are missed
  • Availability to travel overnight when needed
  • In office between the hours of 9am-4pm CST, Monday-Friday

Bachelor's degree from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.
