Job Summary:

We are a fast-scaling 7-figure Australian coaching business seeking a high-performing VA who can take ownership of both financial operations and business growth systems. This role combines Australian bookkeeping and tax expertise with automation, CRM management (GoHighLevel), and AI-driven workflows.

This is not a task-based VA role. We are looking for a proactive, detail-oriented operator who can take full ownership of systems, financial processes, and automation workflows from day one. The ideal candidate thrives in a high-performance environment and is driven to grow alongside the business.

Key Responsibilities:

    Financial & Bookkeeping (Australian Compliance)

    • Manage Xero accounts end-to-end (reconciliation, invoicing, reporting)
    • Prepare and assist with BAS, GST, and PAYG obligations
    • Monitor and follow up on overdue invoices professionally
    • Ensure accuracy and compliance with Australian tax requirements

    CRM & Automation (GoHighLevel)

    • Build and manage pipelines, workflows, and automations
    • Maintain and optimize contact records, tagging, and follow-ups
    • Troubleshoot and improve CRM systems independently

    Operations & Client Management

    • Track client onboarding, progress, and outstanding requirements
    • Maintain accurate records and proactively flag issues
    • Ensure smooth day-to-day operational flow

    AI & Systems Optimization

    • Leverage AI tools (e.g., ChatGPT, Claude) to streamline workflows
    • Implement automation tools (Zapier, Make) to reduce manual tasks
    • Develop and maintain SOPs, trackers, and documentation

    General Operations Support

    • Assist with scheduling, reporting, and ad hoc operational tasks
    • Support continuous improvement initiatives across the business

Skills & Qualifications:

    • Minimum 3+ years experience in bookkeeping, operations, or senior VA roles
    • Proven experience working with Australian clients
    • Strong knowledge of:
      • Australian GST, BAS, PAYG, and ATO compliance
      • Xero (certification preferred)
    • Hands-on experience with GoHighLevel (GHL) — pipelines, automations, workflows
    • Daily working experience using AI tools (ChatGPT, Claude, etc.)
    • High proficiency in Google Workspace (Docs, Sheets, Drive, Gmail)
    • Excellent written English and client communication skills
    • Strong attention to detail and accuracy

Growth Opportunity:
This role is designed to evolve into a full-time Senior Operations & Tech Lead position:
  • Phase 1 (Months 1–3): Prove capability and reliability
  • Phase 2 (Months 4–6): Take full ownership of operations and systems
  • Phase 3 (Months 7–12): Transition into leadership role with potential to manage team members
