Job Summary:
We are looking for a proactive and detail-focused Virtual Assistant Estimator with basic design and drafting capabilities to support our residential building projects in Australia. This role is ideal for someone with foundational construction knowledge, familiarity with Australian building practices, and a willingness to learn and grow into a more advanced estimating and procurement role over time.
The successful candidate will assist in plan takeoffs, supplier communication, budget preparation, and scope development using our project management software, JobTread.
Key Responsibilities:
- Drafting & Design Assistance:
Support preliminary design and estimation with basic drafting using SketchUp or similar software. - Project Takeoffs:
Use JobTreads integrated takeoff tools to extract quantities and details from plans. - Scope of Works Development:
Draft clear, detailed scopes of work for each trade or contractor based on plan analysis and job equirements. - Supplier & Contractor Communication: Create and send quote requests to suppliers and subcontractors. Follow up on outstanding quotes to ensure timely responses. Maintain professional and clear communication with external partners.
- Budget Support: Enter received quotes into JobTreads budget template. Support the creation and organization of job budgets (finalized and reviewed by senior staff). Assist in refining cost estimates as more accurate data becomes available.
- Purchase Orders & Procurement: Over time, assist with sending out purchase orders to suppliers and subcontractors. Track deliveries and commitments as needed.
- Data & Pricelist Management: Keep internal pricelists and vendor data up to date in JobTread.
Qualifications and Requirements:
- Basic design/drafting proficiency (SketchUp or equivalent).
- Familiarity with Australian residential construction methods and terminology.
- Strong organizational and administrative skills.
- Ability to learn and use JobTread project management software (training provided).
- Basic understanding of plan reading and takeoffs.
- Competency in Microsoft Excel or Google Sheets.
- Excellent written and verbal communication in English.
- Proactive attitude and ability to follow through on tasks independently.
- High attention to detail and a strong sense of accountability.
