Position: Senior Procurement Officer

Grade: ISHU – S5
Reports to: Procurement Manager
Department: Procurement

Job Summary:

To support the Procurement Manager in executing procurement processes, ensuring timely acquisition of goods and services, supplier performance management, and compliance with procurement policies and standards.

Key Responsibilities:

Procurement Operations

  • Manage procurement processes from requisition to delivery.
  • Prepare Requests for Quotations (RFQs), tenders, and evaluation reports.
  • Ensure timely procurement of goods and services.

Supplier Management

  • Maintain supplier relationships and performance records.
  • Participate in supplier evaluation and selection processes.
  • Ensure compliance with contractual terms.

Compliance & Documentation

  • Ensure procurement activities comply with policies and procedures.
  • Maintain accurate procurement records and documentation.
  • Support internal and external audits.

Coordination & Support

  • Liaise with departments to clarify procurement needs and specifications.
  • Monitor order tracking and delivery timelines.
  • Support contract management and renewals.

Inventory Support

  • Work closely with stores to monitor stock levels and reorder points.
  • Assist in preventing stock-outs and overstocking.

Key Performance Indicators (KPIs)

  • Timely processing of procurement requests
  • Accuracy and completeness of procurement documentation
  • Supplier performance and responsiveness
  • Compliance with procurement procedures

The ideal candidate must have:

  • Bachelor's Degree in Procurement, Supply Chain Management, Business Administration, or a related field
  • Professional certification in Chartered Institute of Procurement and Supply (CIPS) or equivalent (required)
  • Minimum 7–10 years' experience in procurement and supply chain management, with demonstrated experience in managing procurement processes, supplier relationships, and compliance

Preferably:

  • Experience in a healthcare or highly regulated environment
  • Knowledge of procurement policies, regulatory requirements, and audit processes
  • Experience in tendering, contract management, and supplier performance evaluation
  • Familiarity with procurement systems and inventory management tools
