About You

As a Project Director Assistant at ITC, you will step into the heart of project operations, supporting the Project Director in both strategic planning and daily team management. Youll gain real-world exposure to how top-tier digital projects are run across departments and markets, while developing a hands-on understanding of project management tools like ClickUp and digital workflows. Project Management and Support:

  • Assist the Production Director with daily coordination and strategic production tasks.
  • Act as a point of escalation and support decision-making when the Production Director is unavailable.
  • Serve as a central point of contact, fostering clear and proactive communication across cross-functional teams, stakeholders, and leadership to ensure smooth transitions from presale to project delivery.
  • Assist in overseeing 0-to-1 delivery of CMS and eCommerce projects, including scoping, solution design, and post-launch learnings
  • Maintain and optimize the ClickUp project management system, ensuring all tasks, deadlines, and workflows are accurately tracked and updated.
  • Ensure high levels of client satisfaction, with a strong focus on maintaining excellent Net Promoter Scores (NPS) across key accounts.

Production Oversight and Workflow Management:

  • Oversee weekly production performance to ensure key deliverables are on track and meet internal benchmarks.
  • Monitor and manage team occupancy, ensuring workload is evenly distributed and all team members are fully engaged.
  • Support the evolution and implementation of workflow improvement initiatives.
  • Encourage team involvement in R&D and internal innovation projects aligned with company goals.

Quotation and Presentation Preparation:

  • Develop and refine project quotations in collaboration with the Production Director, ensuring alignment with client expectations and internal standards.
  • Review and update quotations as needed to respond to changes in project scope or client feedback.
  • Assist in the creation of decks and presentations to ensure alignment with project goals and brand guidelines.

Revenue Optimization and Daily Coordination:

  • Monitor and maintain up-to-date revenue tracking files to support operational decisions.
  • Identify opportunities for upselling and cross-selling within ongoing projects and coordinate with the Sales and Marketing teams.
  • Collaborate with the Finance team to track client payments and ensure timely invoicing.
  • Support the implementation and evolution of workflow improvement initiatives
  • Ensure team members are fully occupied, especially in complex functions like DevOps.
  • Encourage internal contribution to R&D or development projects that align with the companys vision.

Production Documentation Management and Training:

  • Organize, maintain, and update all production-related documentation to ensure consistency and accessibility.
  • Assist in the creation and distribution of production schedules and reports.
  • Manage onboarding and training for new team members and interns, including supporting development plans and performance evaluations.
  • Promote the companys and departments vision across the team and ensure clear understanding of individual KPIs.

Requirements

As an A-player, you will be/have:

  • 3+ years of proven experience in PMO, Project Directors Assistant or related role, preferably in a digital agency, tech, or e-commerce environment.
  • Proven end-to-end delivery of websites, apps, or mini programs
  • Fluent in English (Chinese is a plus)
  • Strong communication and interpersonal abilities, with a proven capacity to engage, align, and motivate cross-functional teams.
  • Proficient with tools: ClickUp, Microsoft Excel, Apple Keynote.
  • Good Understanding of IT Project Life Cycle.
  • Organizing and problem-solving skills.
  • Ability to adapt self to changes and challenges.
  • Detail-oriented mindset, strong capability to identify risks and issues, can drive team to solve issues.

Nice to have:

  • Capability to use Figma, ProcessOn
  • Knowledge of infrastructure & middleware: Aliyun ECS, RDS, Redis, OSS, CDN, MQ
  • Knowledge of Tencent Ecosystem including WeChat Mini Program, WeCom
  • Knowledge with BE technologies: WordPress, Drupal, Magento, Laravel
