Junior Document Control Officer

Role Overview

We are looking for a Junior Document Control Officer to support document management activities within a technical and project-driven environment. The role is responsible for coordinating document workflows, maintaining document integrity, managing access rights, and ensuring compliance with document control procedures throughout the entire document lifecycle.

Key Responsibilities

  • Manage and maintain the Document Management System (DMS) and document approval workflows.
  • Configure and adapt document approval processes according to project requirements.
  • Control user permissions and manage access to project documentation.
  • Monitor document versions, revisions, and approval status to ensure information accuracy.
  • Register, organize, and maintain project, operational, and technical documentation.
  • Ensure traceability between documents, revisions, and approvals.
  • Perform administrative preparation and support for internal and external audits.
  • Verify documents for completeness, formatting, naming conventions, and compliance with established standards.
  • Maintain structured and accurate document repositories.
  • Act as the primary point of contact for document-related questions.
  • Provide guidance and training on document management processes to internal teams and external contractors.
  • Follow up on blocked approval workflows and proactively escalate risks or issues.
  • Support project managers with document planning and status reporting.
  • Manage access rights for external stakeholders and contractors.
  • Assist with project administration, mailbox management, information exchange, and meeting minutes.
  • Identify opportunities to improve document control processes and workflow efficiency.

Required Skills

  • Strong communication and organizational skills.
  • Basic knowledge of Document Management Systems (DMS).
  • Understanding of document lifecycle management and version control.
  • Experience working with technical documentation, drawings, plans, or project records is an advantage.
  • Ability to work accurately and follow structured procedures.
  • Proactive and detail-oriented mindset.

Languages

  • Dutch: Native or bilingual proficiency.
  • English: Basic working proficiency.
  • French: Basic working proficiency.

Profile

  • Junior-level professional with strong administrative capabilities.
  • Comfortable working in a technical, industrial, or project-based environment.
  • Able to coordinate multiple document workflows and stakeholders simultaneously.
  • Strong attention to detail and compliance requirements.
