About The Role
Report to the Executive Assistant, aim of this role is to ensure the office runs smoothly and provide a safe and comfortable working environment for employees. Ensure & maintain customer-focused services professionally and effectively, including reception service, office administration, and business support to Senior Executive members of the region to the regional office.
Job Functions
Reception
- Provides effective reception service by greeting visitors & answering phone calls
- Office safety and security control, entrance cards, and keys record keeping
- Maintains efficient mailing and courier services
- Maintains office contact phone list and prepares notification
Office Administration
- Ensures the office & meeting rooms are kept clean and safety
- Office equipment management and maintenance, office supplies procurement & sourcing
- Administers office subscriptions & renewals, Office Admin expense record keeping & payment handling
- Ensure safety procedures are established for fire evacuation
- Maintain Office Admin Handbook & procedure documentation
- Assist with office management & supply contract review, negotiation, and filing
- Quarterly office inspection in Hong Kong office
Secretarial & Business
- Works closely with Executive Assistant and other Administrative Assistants in Asia region
- Provide business travel assistance to assigned team members and visitors internationally & domestically
- Support the hosting of internal and external meetings
- Support departmental leave administrator process for assigned teams
- Organize company events and department functions
Qualifications
- Diploma or above
- 3 years of secretarial or office administration experience in multi-national companies
- Service-oriented; strong communication skills and interpersonal skills
- Able to work independently with the flexibility to provide support is needed
- Attention to detail and a sense of confidentiality
- Strong computer skills in Office applications (e.g. Excel, PowerPoint, Word)
- Excellent in English and Chinese, other Asian languages (e.g. Mandarin, Japanese, Korean) is an advantage
