Job Duties
- To provide a personal assistance (PA) to Managing Director and supervise the day to day operations of the areas of documents preparation to support Managing Directors works as well as coordinate and follow up with the whole organization with all tasks and activities which are company focus and priorities.
- To serve as Company Secretary per SET requirements.
- Schedule meetings, deadlines, and many other matters for company board and/or committees
- Preparing agendas for board and committee meetings
- Reviewing, preparing, and distributing board materials to assist with board/committee meeting preparation
- Supporting the technology used to prepare and distribute materials, conduct meetings, and facilitate other board and committee activities while being mindful of privacy and confidentiality concerns
- Preparing minutes of meetings of the board and its committees
- Maintaining records of the materials provided to the board and its committees to substantiate that directors are given appropriate information on which to base decisions
- Monitoring corporate governance and other developments that the board and/or its committees need to know and taking the steps necessary to comply with changing regulatory and other requirements
- Facilitating director education and board and committee assessments
- Undertake management minute taking, prepare reports and presentation on company in an acceptable standard of accuracy and timeliness.
- To compile and do major reports incorporating information form a variety of sources.
- To respond to, on behalf of the Managing Director, straightforward correspondence, queries and enquiries within established guidelines..
- Arrange on request appointments, visits and travel arrangements for the department managers so their time is used effectively and keep their diaries up - to - date.
- Co - ordinate arrangements for a variety of meetings, internally and externally, assembling appropriate material, as required, to ensure the smooth running of these meetings.
- Maintain and update, as required, a departmental filing system which ensures that documentation is easily accessible.
- To prepare documentations per SET requirements and coordinate with Legal Adviser as all related matters.
- To follow up with all pending and summary for all pending issues to MD with all managers and outside parties.
- Ensure the all responded activity meet company standard with respect to Health, Safety, etc., and ensure the companys obligations and policies in these areas are fully complied with local law, business requirement and standard as ISO9001,ISO14001,TIS18001, TLS (Thai Labour Standards), and others which were issued.
- Other tasks as assigned by Managing Director and Finance Controller
Qualifications
- Bachelor's degree or higher in Law
- Minimum 4 years of experience as company secretary for a public listed company
- Experience with SET regulations
- Strong personal assistant skills
- Previously enrolled CSP course is preferred
- Proficient in English language (TOEIC 750+, IELTS 6.0+)
- Excellent interpersonal and communication skills
- Personable and approachable person
- Lawyer's licence or bar admission is not required by may be advantageous
