Our client is seeking a highly organised and detail-oriented Legal Secretary to join their prestigious global law firm. In this role, you will provide essential secretarial and administrative support to a director and their team of associates within the Litigation Insurance department. 

Key Responsibilities

  • Diary Management: Keep the diary up-to-date, schedule meetings, and resolve conflicts.
  • Meeting Coordination: Arrange meeting logistics, including rooms, equipment, and materials.
  • Travel Coordination: Organize travel arrangements for directors.
  • Document Production: Prepare and distribute documents and presentations, ensuring quality and format adherence.
  • Filing and Archiving: Manage filing and archiving of documents, maintaining confidentiality and compliance with policies.
  • Debt Management: Monitor debtors' books, handle invoicing, and manage outstanding invoices.
  • Time and Billing Support: Track and manage time, address billing queries, and ensure timely invoicing.
  • Business Development Assistance: Help with presentations, bid documents, client contact lists, and marketing materials.
  • Office Management: Provide administrative support, manage workload, and address office maintenance issues.
  • Client Liaison: Assist with client queries, maintain professional communication, and support the secretarial team.

Required Qualifications and Experience

  • Grade 12.
  • A relevant secretarial qualification would be an advantage.
  • Dictaphone typing Experience
  • Minimum of 3-5 years legal secretarial; and
  • Sound knowledge of MS Office (ie MS Word, Excel & PowerPoint).
