About the Role
The Administration and Paralegal Support Officer plays a critical role in supporting the efficient, accurate and compliant operation of the Migration Services practice.
This role provides administrative, paralegal and workflow support across visa matters, internal reporting, compliance monitoring and file management. The position is not client-facing and does not involve the provision of legal advice. All work is undertaken under the supervision of Australian-based lawyers and in accordance with approved templates, checklists and escalation protocols.
The role is ideally suited to a highly organised, process-driven individual who takes pride in precision, consistency and supporting others to perform at their best. The position forms part of the firms broader delivery model and is essential to maintaining service standards, turnaround times and risk controls.
Key Responsibilities
File Administration and Matter Setup
Open new legal matters in accordance with internal procedures and naming conventions
Set up and maintain electronic file structures and document folders
Prepare standard file documentation under instruction, including engagement materials and checklists
Ensure document version control and correct filing at all times
Paralegal and Case Support
Prepare draft visa and related applications using approved templates
Collate and organise supporting documentation for lawyer review
Assist with compiling and formatting submissions
Upload and maintain documents within the case management system (e.g. Migration Manager)
Complete template correspondence and internal reporting tasks
Compliance and Monitoring Support
Maintain visa expiry trackers and key date monitoring spreadsheets
Assist with VEVO checks and internal compliance logs
Monitor data accuracy across systems and escalate discrepancies
Support internal audits, compliance reviews and health check processes
Finance and Billing Support
Assist with preparing draft invoices and billing documentation
Support internal billing cycles and milestone tracking
Monitor accounts receivable data and flag overdue items internally
Liaise with finance teams in accordance with established procedures
Administrative and Operational Support
Maintain internal registers, shared folders and workflow trackers
Support internal reporting and matter status updates
Assist with onboarding processes by preparing templates, files and system access documentation
Provide general administrative support to the legal team as required
Quality, Risk and Professional Standards
Follow all internal procedures, checklists and escalation pathways
Maintain strict confidentiality and data security at all times
Identify and escalate risks, errors or missing information promptly
Contribute to quality assurance and continuous improvement initiatives

Qualifications & Experience
Experience in a legal, professional services or administrative support role (highly regarded)
Legal studies, paralegal training or similar background (desirable)
Exposure to immigration law or regulated environments (advantageous)
Experience using case management systems such as Migration Manager (desirable)
Strong proficiency in Microsoft Office applications
