Roles and Responsibilities
Appointment Coordination
-
Schedule, reschedule, cancel, and confirm telehealth appointments accurately.

Ensure upcoming appointments are booked, rescheduled, and cancelled correctly.

Manage patient inquiries via phone, email, and live chat.
Patient & Client Support
-
Act as the first point of contact for patients, responding with care and professionalism.
-
Communicate with patients via email, calls, and live chat to obtain missing information, answer queries, and relay relevant information from the psychiatrist/psychologist.

Assist patients with basic troubleshooting on telehealth platforms when needed.
System & Records Management
-
Update client/patient details and maintain accurate and up-to-date records in the Practice Management System (PMS).
-
Enter client data received via email, chat, or phone into the PMS.

Upload referral PDFs to client profiles within the PMS.
Operational Excellence
-
Manage and track KPIs to ensure service standards and targets are met.

Complete daily operational checklists to maintain workflow consistency and quality.

Communicate with psychiatrists/psychologists in a timely manner to support scheduling and patient needs.
Required Experience
-
Demonstrated experience in an administrative, scheduling, customer service, or coordination role (telehealth/healthcare exposure is a strong advantage).

Proven leadership experience (formal or informal).

Strong ability to manage multiple tasks and priorities in a fast-paced environment.
Required Skills and Attributes

Strong organisational skills.

Excellent English communication skills (written and verbal).

Speedy IT/computer skills and confidence using multiple systems.

Great customer service personality with empathy and professionalism.

Ability to learn and understand Medicare requirements.
