Role Overview
The Next Step Medication Coordinator is responsible for managing the Next Step Treatment program, which includes Esketamine and Psychedelic-Assisted Therapy (PAT) treatments. This role ensures smooth patient coordination, medication oversight, and program tracking through the following tasks:
- Liaise with the team intake regarding referrals for Esketamine and PAT treatments, responding to queries and ensuring appropriate triage
- Coordinate and communicate with patients throughout the intake and pre-treatment phases, keeping them informed of key steps and timelines
- Manage patient coordination processes using Microsoft Office tools, ensuring accurate and timely updates to patient records and treatment progress
- Monitor medication stock levels for Esketamine, Psilocybin, MDMA, and rescue medications (as deemed appropriate by the Medical Team), and notify Clinical Compliance when reordering or script preparation is required
- Track clinical outcomes and maintain program data using appropriate documentation and reporting tools
- Liaise with Director of Clinical Services to provide updates on program progress, patient flow, and operational needs
- Participate in ongoing review and refinement of clinical and operational processes related to the Next Step model of care, including the Esketamine & PAT patient journey and associated workflows
- Communication & Collaboration
- Foster a collaborative working environment across clinical and operational teams
- Serve as a liaison between departments, promoting synergy and alignment of goals
- Coordinate with HR, Finance, IT, and other departments to support integrated service delivery
- Quality, Risk & Compliance
- Monitor and evaluate clinical and operational quality through audits, feedback reviews, and incident management
- Implement quality improvement initiatives to enhance patient satisfaction and operational efficiency
- Ensure compliance with NQSPCH standards, company policies, and legal/ethical requirements
- Support accreditation preparedness, policy development, and mandatory training planning
Other Responsibilities
- Maintain strict confidentiality and protect sensitive information
- Model company values and contributes to achieving its mission and vision
- Assist with clinical compliance tasks in collaboration with Senior Clinicians, including risk register maintenance and variance resolution
- Train in the company's primary treatment modality, TMS, and work as a TMS clinician as required.

Qualifications & Experience Required
- Registered Nurse with experience in Mental Health Nursing
- Understanding of healthcare administration and relevant tasks
- Demonstrated experience working autonomously
- Excellent written and verbal communication skills, with the ability to communicate complex ideas clearly and concisely
- Proficient in Microsoft Office and scheduling software, and electronic medical records systems
- Strong interpersonal skills to build relationships and motivate a diverse team
- Ability to work collaboratively with patients, families, and healthcare professionals
- Commitment to best practice and genuine passion for mental health care
- Current First Aid certification, WWCC, and Police check
